Job Details: 

The Talent Acquisition (TA) Operations Coordinator is responsible for the timely and efficient support of the day-to-day Talent Acquisition operations, from recruitment through the initial onboarding process. In addition, the TA Operations Coordinator will participate in special projects and liaise with other functional groups. At all times, the TA Operations Coordinator strives to provide the best customer experience, both internally and externally, that creates a positive impression of InvoiceCloud.  

Core Responsibilities: 

  • Partner with the Recruiting team to best organize and effectively manage logistics for the recruiting process, including candidate management, interview coordination, onboarding support, and recruitment administration. 
  • Schedule and coordinate complex phone, virtual, onsite and presentation interviews across multiple time zones ensuring all invitees have everything they need for the interview; Zoom links for virtual, candidate phone numbers for phone interviews, office address for on-site interviews, assignment instructions for presentations, etc. 
  • Evaluate and identify opportunities to drive process improvements that positively impact the candidate and hiring manager experience.  
  • Generate, initiate, and monitor pre-employment screenings (i.e., background checks, drug screen, credentialing, etc.) and keep the recruiter updated.  
  • Manage Greenhouse ATS to ensure accurate and timely tracking of candidate information, streamline the recruitment process, and generate reports for hiring metrics and compliance. 
  • Review job applicants and resumes to identify qualified candidates, and proactively source applicants for various roles. 
  • Demonstrate curiosity and interest in leveraging Generative AI (GenAI) technologies to spearhead improvements and innovations within the Talent Acquisition function and participating in other project work as needed

  • Proven ability to build and maintain strong relationships with candidates, hiring managers, and external partners by providing exceptional customer service and ensuring a positive recruitment experience for all stakeholders. 
  • Skilled in crafting and delivering clear, concise, and engaging communication materials, including job postings and email correspondence, to effectively attract and engage top talent. 
  • Demonstrated ability to manage and prioritize multiple tasks efficiently, maintaining a strong sense of urgency and consistently meeting deadlines in a fast-paced environment. 
  • Proven accuracy and attention to detail, with strong organizational and analytical skills for managing and analyzing recruitment data. 
  • Proven ability to communicate and collaborate with all levels of the organization and external partners to ensure a seamless recruitment process. 
  • Demonstrated flexibility and motivation, with the ability to work effectively both independently and collaboratively within a team environment. 
  • Skilled in handling sensitive and confidential information with discretion and professionalism, ensuring compliance with company policies and legal requirements.  

Qualifications/ Background Experiences 

  • Bachelor’s Degree and a minimum of 1 year of related experience, or equivalent combination of experience, education, and training.  
  • Experience with Greenhouse and Workday systems 
  • Prior Human Resources or Recruiting support experience a strong plus 

 

Base Compensation Range: $55,000 to $70,000 annually. Base salary is one component of total compensation. Employees may also be eligible for an annual bonus or commission. Some roles may also be eligible for overtime pay. The above represents the expected base compensation range for this job requisition. Ultimately, in determining your pay, we’ll consider many factors including, but not limited to, skills, experience, qualifications, geographic location, and other job-related factors.
