This is an entry-level administrative position for the Client Accounting & Administration Department within the Los Angeles office. This position must coordinate and manage incoming client payments for the following departments:

ESSENTIAL FUNCTIONS

POSITION QUALIFICATIONS

Competencies, Skills & Abilities:

Handle Client Payment Processing

• Identify payments and apply them to the correct client account

o Process Payments in ICM proprietary software

o Review checks and payments to ensure accuracy in payment and process

o Flag errors for Contract Administration team to review

o Handle a high volume of transactions without errors

o Adjust payment steps to match checks for small changes as needed

• Manage/Monitor AR Invoice emails and phone

o Review emails and forward to cash room/contract admin remittances

o Answer general questions by email or phone, verify wiring instructions

o Sends contracts, deal memos and invoices to WGA weekly

• Backup responsibilities

o BU to other TPA's for processing

o BU to Client Services

o BU for generating & sending reports and invoices

• General Responsibilities

o Be an active collaborative problem solver driven to create solutions and systems to support the needs of the agency and specific departments

o Engage effectively and efficiently with department staff for purposes of financial and client accounting training

o Perform other duties and responsibilities as assigned

o Be able to prioritize projects based upon the needs of the department and company as a whole

o Be able to complete and manage required duties in timely fashion, or effectively communicate to management when unable to complete a required task or duty

Required Education and Qualification:

• BA/BS degree with a strong academic record. Concentration in Business Administration or Accounting, preferred

• Knowledge of Microsoft Office applications

• Strong accounting and quantitative skills

• General administration expertise

• Accomplished ability to multi-task and follow through on assignments

• Impeccable attention to detail, excellent organizational, planning, prioritizing and time management skills

• Ability to multitask and work well under pressure in a fast-paced environment

• Possess excellent verbal and written communication skills with colleagues at every level

Experience: A minimum of one year of work experience in a professional office environment required.
