Global Events Production Associate

Are you excited about the opportunity to create exceptional large-scale event experiences and have a keen eye for detail? Do you thrive in fast-paced environments where no two days are the same? If so, we're looking for an Associate Event Production Manager to join our dynamic Global Events Production team to help deliver world-class experiences including our flagship event INBOUND, which attracts over 12,000 attendees annually!

This position sits at the intersection of customer service, live event operations, and production support, requiring someone who can seamlessly transition between different tasks while maintaining high standards of quality and efficiency. The ideal candidate possesses a strong learner's mindset - demonstrating intellectual curiosity, adaptability to new technologies and processes, and a commitment to continuous growth in an ever-evolving event landscape. You'll have the opportunity to contribute to meaningful projects that directly impact the attendee experience while developing a comprehensive understanding of large-scale B2B event production from the ground up.

PRIMARY RESPONSIBILITIES

Event Customer Service & Attendee Experience
  • Oversee and respond to all attendee inquiries, manage support resources and knowledge base for staff.
  • Proactively update, modify, and add relevant support articles and develop templates for responses based on attendee inquiries; maintain consistent communication throughout the attendee journey
  • Arrange reasonable accommodations and accessibility services, including transportation, CART, and ASL.
  • Ideate and implement wellness initiatives for events.

Event Administrative & Project Management
  • Maintain and optimize event project management tools (Asana, Google Drive, etc.) to ensure efficient workflows across the Global Events team.
  • Maintain the Global Event team's internal communications site for cross functional announcements and updates across the global HubSpot community.
  • Oversee vendor contract processing and invoicing management process for the Global Events portfolio.
  • Track and manage the Equipment & Operations (E&O) budget for the Global Events portfolio
  • Manage various event logistics projects, to include shipping, inventory, storage, transportation, and post-event material donation coordination. Support other various production and operations tasks across as needed.

Event Production & Content Support
  • Support content production logistics for live events, including keynotes and breakout sessions.
  • Organize and archive post-event recordings and media assets.
  • Assist with event setups, breakdowns, and manage internal production workbooks.

REQUIREMENTS
  • 0-2 years in event management, conference production, event customer service, or a related field
  • Exceptional organizational skills with demonstrated ability to manage multiple event projects simultaneously
  • Strong customer service orientation with excellent written and verbal communication skills for attendee interactions
  • Proficient in Google Workspace, Microsoft Office, and event project management tools
  • Detail-oriented, adaptable, and collaborative team player
  • A passion for AI and willingness to learn event technology
  • Must be willing to travel 1-2 times per year
  • Must be willing to work flexible hours to align with global event schedules

Cash compensation range: 56000-84000 USD Annually

The cash compensation above includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot's bonus plan for eligible roles. In addition to cash compensation, some roles are eligible to participate in HubSpot's equity plan to receive restricted stock units (RSUs). Some roles may also be eligible for overtime pay. Individual compensation packages are based on a few different factors unique to each candidate, including their skills, experience, qualifications and other job-related reasons.
