About The Role

Provide administrative and secretarial support to the Planning Department. Exercise judgement and skill in helping the SVP, Strategic Planning & manage the administrative aspects of a multi-person planning and administrative staff. Assist with special projects as assigned.

What You Will Do
  • Performs high-level, administrative work, including frequent complex and confidential clerical work organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information.
  • Prepares communications with various stakeholders such as design consultants and municipal department contacts at the City of Las Vegas, Clark County, and various municipal agencies.
  • Participates in administrative functions such as budgeting or developing spreadsheet tracking reports.
  • Assist with contract process, maintain insurance certificates and various data entry.
  • Contacts are with executives, managers, other employees and customers mainly to assist with information exchange, problems and requests.
  • Assists in daily business of managers, which includes general office work, answering phones, greeting guests and word processing, sorting and distributing mail.
  • Research, prepare and edit reports and presentations
  • Manage all meeting coordination details including location (if required), catering, AV equipment, meeting materials, etc.
  • Schedules meetings/conference calls and appointments, makes travel arrangements, as needed.
  • Prepare and reconcile expenses.
  • Assist with monthly reconciliation process.
  • Other duties as assigned.

About You
  • College degree or equivalent.
  • Minimum 5 years of Administrative Support experience.
  • Professional interaction with clients and vendors.
  • Highly proficient in MS office applications: Word, Excel, Power Point, Outlook.
  • Build positive working relationships with employees at all levels within the organization.
  • Knowledge of architecture, planning, construction and engineering terminology is recommended.
  • Exercise sound judgment when making decisions.
  • Able to meet deadlines as necessary.
  • Effectively work with minimal supervision.
  • Strong Organization and Attention to Detail skills.
  • Exceptional Communication Skills both verbal and written.
  • Good problem solver/creative thinker.
  • "Can-do" attitude, pro-active and resourceful.
  • Maintains confidentiality.
  • Experience with following software preferred: e-Builder, Salesforce, Coupa, and Concur.
