We are looking for a Customer Service & Order Administration Specialist to join our team in Zaventem
As a Customer Service & Order Administration Employee, you will provide essential administrative and commercial support to our sales teams for product, service, and project orders.
Your key responsibilities include:
- Order Management: Entering and managing orders in SAP, ensuring necessary purchase orders, and coordinating with the warehouse for stock deliveries.
- Project and Data Administration: Maintaining project data, handling long-term agreements, and keeping material and customer master data up to date in SAP.
- Customer Communication: Creating order confirmations, maintaining telephone contact with customers, and managing inquiries related to orders, deliveries, invoices, and warranties.
- Invoicing and Credit Management: Ensuring timely and accurate invoicing, preparing credit notes, following up on overdue accounts, and monitoring credit limits.
- Process Optimization: Proposing improvements for business processes within the Customer Service team.
- Compliance and Reporting: Performing SOX controls, processing time sheets and expense reports, following up on scope changes, and managing bank guarantees.
You will work closely with the Buyers and Markets departments to ensure seamless operations.
Your Profile
- Experience: Relevant B2B customer contact experience.
- SAP Knowledge: Proficient in SAP, experience in SAP4/HANA is a big advantage.
- Skills: Enthusiastic, organized, customer-friendly, and service-minded. A good team player with a proactive attitude.
- Sales Orders: Experienced in creating and following up on Sales Orders in Service/Projects.
- Industry Experience: Experience in the energy industry is an asset.
- Administrative Support: Preferably 2+ years of experience in an administrative support role.
- Independence: Ability to work independently and meet tight deadlines.
- Language Proficiency: Good proficiency in English and Dutch is mandatory; French is a plus.
- Education: Higher education
