The Opportunity:
We are excited to offer an opportunity for a skilled Administration Specialist to join our dynamic Workspace management team at Hitachi Energy. You will be joining a well-structured team consisting of 30 people who take care of everyday business running in Hitachi Energy Services. Workspace team is responsible for the effective use of the office space in Hitachi Energy Krakow location. They are also responsible for managing projects related to office space expansion.
We are seeking a highly skilled and experienced Administration Specialist who will be responsible for monitoring and reporting the office space usage, with strong focus on analysis, prognosis and suggestions to future workspace plans in accordance to business needs.

The ideal candidate will possess good analytical skills which allow to create reports, examine data and use critical thinking. In this role, you will be responsible for managing space planning tool - both from administrative and application maintenance perspective.
You will ensure the daily cooperation and communication with key stakeholders to give them space to deliver efficiently. Close cooperation with the rest of Administration teams will be essential as well as regular updates with other departments such as Real Estate, Financial Controlling and many more. Additionally, you will be managing office space projects including new workspace areas, rearrangements and refurnishing activities.
This position requires working from the office, effective collaboration and communication within the team.

How You'll Make an Impact:
- Monitoring and reporting the office space usage to future workspace plans in accordance to business needs.
- Managing space planning tool - general administration and maintenance; new tool implementation according to business requirements.
- Allocating rent charges and coordinating settlements.
- Planning and organizing employees' relocations.
- Managing furniture purchasing.
- Managing office space projects: new areas, rearrangements and refurnishing projects.
- Daily cooperation and communication with key stakeholders.
Your Background:
- You have at least 5 years' experience in administration, HR or related fields, including at least 2 years in corporate
- Academic degree: Higher education, preferably in HR, Administration or related
- You have very good verbal and written communication skills and customer service orientation
- You have upper-intermediate level of Business English
- You are a proficient user of Microsoft 365 tools
- You have analytical skills, are proactive and able to use critical thinking as well as work independently.
