Responsibilities
About the role:
The Treasury Operations Suspense and Research Supervisor is responsible for the performance of the Treasury Operations Senior Representatives and Treasury Operations Suspense and Research Specialists. The Treasury Operations Suspense and Research Supervisor will provide direct support to the Treasury Operations Suspense and Research Manager and team members by monitoring the production flow to ensure daily objectives are met and provide day-to-day leadership to all team members. This team member will serve as the direct contact in the absence off the Treasury Operations Suspense and Research Manager. This team member will act as subject matter expert for various processes and will provide support and training as requested to the staff. This team member will lead the team to achieve optimal business results and outstanding customer service related to consumer loans, lease, and commercial lending. This team member will oversee the daily activities of the department to ensure service level, KPI's, and strategic goals are met. This team member will monitor the team's daily activities to ensure the department ensure proper controls exist for timely and accurate processing of all monetary transactions related to research, suspense, refunds, reconciliations, and various other processes. This team member will be responsible for the success of department projects which includes participating in meeting, testing, communicating and implementation. In addition to audit implementations and control validation and monitoring, and process changes. This team member has direct contact with internal and external business partners and various levels of management including financial institutions, attorneys, company alliances, customers, and automobile dealerships.
What you'll be doing:
- Achieve operational goals by contributing information and recommendations to management, preparing, and completing actions items, and identifying opportunities for process improvement
- Make recommendations regarding personnel decisions including staffing levels, hiring, orientation, retention, promotion, reward recognition, salary increases, termination etc
- Perform job duties at a fully proficient and professional level which includes handling situations which may require extensive research and problem solving
- Be inclusive by valuing backgrounds, opinions and ideas that may be different than your own
- Ensure the accurate and timely completion of daily reports and monitor all pay sources are within tolerance
- Ensure suspense reports are distributed by the senior representative in a timely manner to the Specialists
- Maintain service level goals as it relates to suspense and research in AutoSuite
- Review the aging reports to ensure the team are completing their daily assignments; all the while ensuring that accounts are notated correctly for any unresolved suspense items related to defects etc
- Identify trends related to the aging reports and notify management immediately of any patterns
- Side-by-side overview with specialists to identify roadblocks or redundant processes impacting production
- Maintain reports, team email boxes to limit the number of escalations
- Resolve and research any customer complaints and/or legal request in a timely manner
- Work with the Treasury Operations project team to document any new processes for the team
- Lead and facilitate bi-weekly team meetings with Senior Specialist and Specialists
- Foster a cooperative environment, encourage team ideas and growth within the department
- Define clear performance expectations, work with Manager to establish goals
- Provide coaching and discipline as needed, for specialists all the while adhering to company policies
- Review and approve invoices related to refunds (customer, dealer and third party), across all systems related to consumer loans, lease, and commercial lending
- Ensure the Systems of records are recorded and updated timely
- Ensure the team is updated in a timely manner about any policy and/or process changes that will impact production
- Gather, compile, and analyze data related to daily job productivity and volume
- Guide, direct, and monitor staff in order to administer GM Financial policies and departmental procedures and ensure compliance with all state and federal requirements
- Perform analysis on current processes and make recommendations to management for efficiencies as needed
- Responsible for internal initiatives, including but not limited to, internal and external audit preparation, user template and database upkeep
- Keep abreast of current trends in the market and developments in the profession
Qualifications
What makes you the dream candidate?
- Advanced knowledge of (payments and returns) or non-cash adjustments
- Advanced knowledge of auto industry as it relates to consumer loans, lease and commercial lending
- Knowledge of AutoSuite system processes including payment posting logic for consumer loans, lease and commercial lending
- Knowledge of customer service, lease servicing and collections, systems and operating procedures
- People management skills able to lead, motivate, and manage a team of 10+ team members
- Ability to make effective management, day-to-day operational and procedural decisions related to consumer loans and commercial leases
- Ability to manage multiple high priority task at the same time
- Demonstrated ability to positively lead people through significant change
- Computer software skills including Microsoft (Word, PowerPoint, Excel, Access)
- Experience performing account adjustment on consumer and lease accounts
- Experience in Suspense and Research Consumer/Commercial Lease auto finance industry
Education & Experience
- Associate Degree in a related field or equivalent work experience required
- 3-5 years experience performing account adjustments on consumer and lease accounts required
- 3-5 years experience in suspense and research Consumer/Commercial Lease auto finance industry required
- 3-5 years in a Payment Services or Lockbox environment required
