How will you make an impact?

The Professional Medical Education Coordinator will be responsible for overseeing the documentation and administration of Speaker Programs within Glaukos. This role involves maintaining an approved Speaker list, analyzing annual business needs, managing contracts, ensuring compliance with training requirements, reviewing and approving field Speaker Program requests, facilitating revisions to approved presentation materials, handling invoicing, managing expenses, educating employees on program processes, and conducting data accuracy checks through report reviews.

  1. Maintain an Approved Speaker List:
    • Regularly update and maintain a database of approved speakers, ensuring accuracy and completeness.
    • Communicate with internal stakeholders to verify speaker qualifications and availability.

  • Initiate and oversee the annual business need process for speakers programs.
  • Initiate and oversee the contract request process for speakers, ensuring all necessary legal and compliance requirements are met.
  • Collaborate with Compliance team as needed to finalize contracts in a timely manner.
  • Verification of Speaker Training Completion:
    • Monitor and track completion of required training modules by approved speakers.
    • Ensure that all speakers are fully compliant with training requirements before engaging in program activities.
  • Review and Approve Field Speaker Program Requests:
    • Evaluate incoming requests for Speaker Programs from field teams.
    • Process request for events, providing timely status updates
    • Ensure alignment with company guidelines and compliance standards.
    • Provide timely approval or feedback to requesting teams.
  • Facilitate Speaker-Requested Changes to Approved Decks:
    • Coordinate with speakers to incorporate necessary changes to presentation materials.
    • Ensure that all modifications adhere to company branding guidelines, compliance standards and medical, legal, regulatory approval.
    • Collaborating with Medical Affairs, Legal and Global Marketing ensuring all materials meet Glaukos guidelines
  • Invoicing and Expense Management:
    • Prepare and submit invoices for speaker services rendered.
    • Monitor and reconcile Speaker Program expenses, ensuring accuracy and adherence to budgetary guidelines.
    • Facilitate the closure of Speaker Program expenses in a timely manner.
    • Collaborate with Finance colleagues and Speakers to ensure payments are made timely and accurately.
  • Training and Development:
    • Collaborate with L&D, Compliance & Global Marketing to deliver training sessions (LMS or Virtual) for employees involved in the Speaker Program process.
    • Provide ongoing support and guidance to ensure understanding and compliance with program protocols.
  • Data Accuracy Review:
    • Regularly review reports generated from Speaker Program activities.
    • Identify and address any discrepancies or inaccuracies in the data.
    • Collaborate with relevant stakeholders to implement corrective measures as needed.
  • Other duties as assigned.

  • How will you get here?
    • High School diploma or GED required, Bachelors degree preferred.
    • 6-8 years relevant work experience with High School diploma or 2-4 years with bachelor's degree
    • Solid judgment and problem-solving abilities.
    • Proficiency in Microsoft Office Suite.
    • Strong understanding of legal and compliance requirements related to speaker engagements.
    • Excellent organizational skills with meticulous attention to detail.
    • A proactive, collaborative problem solving abilities.
    • Proficiency in database management and contract administration.
    • Strong communication and interpersonal skills, with the ability to collaborate effectively across teams.
    • Ability to thrive in a fast-paced, dynamic work environment managing multiple assignments simultaneously and working under pressure while prioritizing workload.
