Job Description Summary
The Senior Administrative Specialist will provide general administrative support for complex and time sensitive projects by supporting the manager and employees of a diverse department through a variety of tasks related to organization and communication. The duties and responsibilities performed will often require independent judgment and strong organizational skills. This role starts at $28.92 and progresses to $31.68 after 6-months of successful performance.
Job Description
Essential Responsibilities:
Essential responsibilities include, but are not limited to:
- Performs general administrative duties such as receive fax/letters, answer routine questions, locate and furnish information, organize and maintain files, order supplies, maintain regulatory posting notices, and follow up on pending matters.
- Proactively supports a manager and team by prioritizing and completing multiple activities; typically, within deadlines.
- Maintains and submits regulatory facility licenses, renewals, modifications, permits, and supporting licensing documents for various agencies.
- Perform administrative tasks utilizing a high level of accuracy and attention to detail as facility licensing administration requires frequent correspondence to industry regulators.
- Develops, distributes and files memos, letters, presentations, and regulatory documents such as inspection reports, certificates, orders, and correspondence.
- Provides support and logistics for regulatory inspections.
- Manage and analyze business data, including data monitoring, tabulation skills, generation of data, text and graphics for reports and presentations.
- Appropriately handles routine inquiries and exercises appropriate judgment in escalating issues to team members or managers as needed.
- Prioritizes, organizes, and follows-through on assignments in a timely manner.
- Prepares and distributes routine reports following established procedures and protocols.
- Maintains and coordinates calendars, schedules meetings and appointments.
- Works closely with other administrative positions in a collaborative manner, including occasional coverage for others during absences.
- Frequently works on complex projects
- Utilize specialized office equipment such as VoIP telephone, teleconference hook-up, and multifunction printers to complete tasks
- Accurately maintains electronic databases, files, shared virtual drives and other information repositories.
- Maintains control of company proprietary, security and other sensitive information
- Operate computer systems and programs such as Microsoft Office, Adobe or similar program, or do we have a 3rd program to include?
- Work overtime as needed
- Perform other relevant duties as assigned

Eligibility Requirements:
- Must be able to demonstrate at least intermediate proficiency using Microsoft Office by completing an assessment test as part of the interview process.
- Must prove proficiency in 3 of the 5 Microsoft Office programs: Word, PowerPoint, Excel, Outlook, and Access.
- Must be able to lift and/or push up to 20 lbs
- Ability to use computers proficiently. Must have the ability to proficiently utilize internet, including Web-based applications and internet searches.
- Proficient use of various specialized equipment, including, but not limited to: telephone, voicemail, teleconference hook-up, computer scanners and presentation equipment.

Required Qualifications:
- High School Diploma/GED or equivalent
- Minimum of three years of full administrative/secretarial experience or graduate of a one- or two-year college level secretarial program and one year of full administrative secretarial experience including positions such as office manager, secretary, administrative assistant, paralegal or equivalent.
Desired Qualifications:
- Additional college or professional training in a secretarial program is highly desired.
- Previous experience working with a large employer, in the manufacturing industry, and/or working directly with regulators.
- Minimum of 1 year of experience working with regulatory correspondence and technical documentation is highly desired. (Nuclear Programs)
- Experience in successfully handling multiple managers and assignments highly desirable.
- Current NC Notary Public or willingness to obtain
This role requires access to U.S. export-controlled information. If applicable, final offers will be contingent on ability to obtain authorization for access to U.S. export-controlled information from the U.S. Government.
