As a Contracts and Shipping Administrator based in our office in Stafford, you will be responsible for contracts and shipping administration.
You will be part of Contracts and Shipping Team to successfully deliver daily targets, achieve goals and business KPI's. You will be providing with an excellent customer service to all stakeholders, as well as perform general administrative tasks.
Job Description
Roles and Responsibilities:
- Carry out detailed, efficient contracts administration for Hard Copy / Electronically Received customer orders (process orders, review content, prices, and customer credit).
- Ensure all orders are scheduled for dispatch in line with customer requirement/Manufacturing Capabilities and acknowledged within 48 hours.
- Develop a sound understanding of the legalities of contracts, finance, invoicing and standard terms and conditions.
- Liaise with internal departments.
- Respond directly to customers regarding order queries and deliveries.
- Attend Flash 5 meetings with Contracts or Shipping Team (Safety, Workload, Targets, Issues)
- Deliver daily / monthly / quarterly targets.
- Check Worklist daily for items, quantity, and order status.
- Create picking lists and shipping documents from SAP System and where necessary edit to suit customer requirements.
- Raise Company Freight Insurance invoices on SAP (Billing).
- Create and amend Billing documents.
- Distribute documents accordingly.
- Use of departmental tools and reports to maximise output to achieve goals.
- Maintain KPI's: OA Lead Time, OTD, FG, OIH overdue.

Required Skills:
- Good PC skills, Excel, Outlook.
- Good knowledge of SAP or any other equivalent ERP system.
- Customer service experience.
- Ability to perform under heavy workload in a high intensity pressured environment.
- Knowledge of Incoterms "INCOTERMS 2020".
- Knowledge of import and export shipping procedures.
- Knowledge of customs regulations, export documentation and import regulations of overseas countries.
- Logistics and warehouse understanding.
