Job Description Summary

As the Senior Administrative Assistant, you will be responsible for providing direct support to leaders within the Quality organization. This role requires attention to detail, the ability to meet tight deadlines, and switch direction at a moment's notice. A high level of integrity in handling confidential information is required. The ideal candidate can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills.

Essential Responsibilities:

  • Assist in planning the Quality team events including arranging the location, catering, lodging, communication, etc. with the attendees.
  • Provide calendar, meeting, and conference management; proactively coordinate calendar, anticipate issues.
  • Coordinate complex domestic and global travel arrangements; create travel trip itineraries; arrange for appropriate visas, transportation, lodging, and other needs while traveling; communicate with leader while traveling to ensure that they are fully informed of all issues arising; process and reconcile T&L expense accounts.
  • Works closely and effectively with the leader to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Ability to be flexible and work in a fast-paced environment, deal well with ambiguity.
  • Maintain discrete and confidential handling and coordination of sensitive and/or legally privileged company and personal executive information.
  • Prepare, track and coordinate mail and shipments for the organization. Able to effectively acquire and maintain inventory of office supplies and equipment within budget constraints.
  • Able to identify the necessary credentials to ensure proper access to employees, both US and Foreign Nationals, as well as visitors, to protect GE Proprietary information and comply with government regulations. Knowledge of point of contacts and tools for all requests.
  • Facilities coordination: manage new hire working space, office moves, update floor plans, report building issues and communicate, as necessary. Maintain office equipment, report any issues, or request service to keep equipment operation. Custodian of organization resources & budget.
  • Demonstrated ability to manage contacts using Outlook to conduct up-to-date database entry, track and manage highly classified correspondence, and facilitate relationships with key stakeholders. Helps keep organization charts, phone lists, and birthday lists up to date.
  • Able to travel domestic & internationally as needed.
  • Assist with coordination of team communications, including intranet, email, PowerPoint, and other mixed media.
  • Assist with special projects as assigned.

Minimum Qualifications/Requirements:

  • Minimum of 3 years of administrative support experience.
  • Associate degree or High School Diploma / GED from an accredited school or institution

Desired Characteristics and Experience:

  • Experience working in and navigating computer applications such as SSS, Excel, SAP & Gensuite.
  • Ability to perform basic functions in Excel, including navigating to files, data input, copy and paste and sums.
  • Detail orientated.
  • Work experience in a manufacturing environment. Strong communication skills and ability to learn and understands all policies, practices, and procedures. Ability to multitask.
  • Strong sense of priority.
  • Strong interpersonal skills.
  • Ability to work independently and solve problems.
  • Strong team player and desire for hands on approach

This role requires access to U.S. export-controlled information. If applicable, final offers will be contingent on ability to obtain authorization for access to U.S. export-controlled information from the U.S. Government.
