We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will provide comprehensive administrative support to ensure the efficient operation of the office. This role requires a proactive individual with excellent communication skills and the ability to manage multiple tasks simultaneously.
Job Description
Roles and Responsibilities:
- Provide administrative support to two General Managers and other staff members.
- Manage and maintain schedules, including arranging meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Maintain office supplies inventory and place orders as needed.
- Assist in the preparation of regularly scheduled reports.
- Coordinate with facilities organization on building cleaning and required maintenance.
- Coordinate and organize office events and meetings.
- Maintain and update distribution lists to ensure accurate and timely communication within the organization.
- Create, update, and distribute organizational charts to reflect current staffing and reporting structures.
- Prepare and submit expense reports in a timely manner, ensuring accuracy and compliance with company policies.
- Perform other administrative duties as assigned.
- Maintain confidentiality on sensitive information.

Required Qualifications:
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- Minimum of 4 years' experience as an administrative assistant or in a related role.
- Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
Desired Characteristics:
- Strong interpersonal and organizational skills
- Working knowledge of GE Aerospace organizations, policies and procedures
- Experience supporting an Engineering organization
