About the role
We are seeking an organized Office and Events Associate to support our workplace operations and maintain our company culture. In this role, you will manage office facilities, coordinate events, and ensure smooth daily operations.
The ideal candidate will have strong organizational abilities and problem-solving skills. Your responsibilities include maintaining the office environment, coordinating company events, and providing operational support during office hours.
Hours: (On-site)
Monday & Thursday: 8:00 AM - 1:00 PM
Tuesday & Wednesday: 8:00 AM - 5:00 PM
Flexibility is potentially needed for additional company initiatives and/or events
Responsibilities
- Maintain immaculate office spaces and common areas through daily monitoring and hands-on upkeep.
- Build and maintain strong relationships with building management, security, and facilities teams.
- Coordinate building maintenance requests, access cards, and daily employee requests.
- Plan and coordinate daily catered lunches, including dietary restriction management and vendor relationships.
- Manage comprehensive snack and beverage program, ensuring variety and freshness.
- Implement and maintain detailed organizational systems for office supplies, storage, and shared spaces.
- Support the planning and execution of company events and employee programs.
- Monitor and maintain pristine meeting spaces, ensuring readiness for daily use.
- Track and maintain detailed records for meals, supplies, and event budgets.
- Partner with internal stakeholders to enhance the workplace experience.
Expected to be present in the office for all designated hours
About You
- 3-5 years of progressive office management experience.
- Experience managing building relationships and facilities coordination.
- Strong attention to detail and commitment to workplace excellence.
- Proven experience in meal planning and catering coordination.
- Ability to physically maintain office spaces (including lifting up to 25 pounds).
- Experience managing vendors and maintaining quality control.
- Exceptional organizational and time management skills.
- Creative problem-solver with strong initiative.
- Strong cross-functional communication abilities.
- Experience supporting a hybrid work environment.
- Bachelor's degree preferred.

We pay all employees competitively relative to the New York City market, regardless of their location. In compliance with NYC’s pay transparency law and in pursuit of pay equity and fairness, we publish salary ranges for all open roles at Formation Bio. The target salary range for this role is $24.00 - $31.00 per hour.
