In this position...

The Administrative Assistant, Finance, role will work in a fast-paced work environment in Dearborn, Michigan. This role requires an individual who is resilient, flexible and maintains a positive attitude when changes arise. We are seeking someone who is professional, courteous, and has a high standard for integrity and discretion while handling highly confidential business and personal information. This individual should be self-motivated, proactive, and conscientious, and demonstrate excellent time and data management skills to coordinate calendars, and email activity, and prioritize daily work for themselves and the executives they support. They should be able to work autonomously, problem-solve independently, and effectively build relationships and collaborate across global teams to deliver quality results.

RESPONSIBILITIES

What you'll do...

  • Acts as a representative for multiple executives with key stakeholders, providing a courteous, helpful, and efficient interaction.
  • Manages calendars and correspondence; resolves scheduling conflicts in a timely manner and proactively prioritizes and keeps executives informed of changes.
  • Optimizes travel arrangements based on travel needs and preferences, managing complex itineraries and completing related expense reports.
  • Assists with preparing for meetings, including preparing materials, obtaining materials in advance, distributing materials, and keeping executives on schedule.
  • Screens incoming calls and responds to emails as needed.
  • Assists with coordinating and managing meetings and events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc.
  • Sorts, screens, and distributes incoming and outgoing mail.
  • Prepares, updates, and organizes information for reports, correspondence, presentations, budgets, etc. Edits documents for accuracy, format, and arrangement of material.
  • Assists with special projects as needed.


QUALIFICATIONS

You'll have...

  • High school diploma or GED.
  • 3+ years of experience as an executive assistant or project manager.
  • 3+ years of Microsoft software experience (e.g., Outlook, SharePoint, OneDrive, PowerPoint, Word, and Excel).

Even better, you may have...

  • Previous experience as an executive assistant in a large global, matrixed organization.
  • Excellent writing, editing, and proofreading skills.
  • Detail-oriented, organized, and excellent time management skills.
  • Ability to adapt daily in a high-paced work environment and maintain a positive attitude.
  • Displays a high degree of integrity and maintains confidentiality of sensitive information.
  • Problem solves independently and autonomously.
  • Ability to work collaboratively within a team environment, in an open-concept office area.
  • Comfortable interacting with all levels of the organization.
  • Ability to plan, prioritize, and support multiple assignments simultaneously.
