Overview

This is a hybrid role with the expectation that time working will regularly take place inside and outside of a company office located in Phoenix, AZ. The days required in the office will vary from week to week.

As a Senior Administrative Assistant, you will be a member of the bank's Enterprise Operations organization providing support to the Head of Client Services and her leadership team. This position performs a wide range of administrative and staff support duties at an advanced complexity level including calendar management, travel planning, expense reimbursement, and meeting planning/coordination. The Senior Administrative Assistant represents the senior leaders and serves as the main point of contact, interfacing with internal and external stakeholders, associates, and third parties. Coordinates schedules and large meetings for departments.Provides logistics support for virtual and onsite meetings to create a positive experience for leaders and attendees. Coordinates with internal and external partners through proactive communication. Resolves issues to maximize leadership time and efforts. Responsible for reporting, file maintenance, logistics, and administrative duties that serve the effectiveness of the leadership team. Acts as a department liaison or resource through knowledge of daily operations.

Responsibilities

  • Support - Responsible for complex assistance and support, assessing and resolving issues that affect executive performance. Maintains in-depth knowledge of company operations, policies, and procedures to solve challenges before they escalate. Responsible for creating and submitting expense reports, including reconciliation of credit cards. Submits invoices for payment. Maintains high confidentiality on key matters impacting the business.
  • Scheduling - Manages multiple leaders' calendars on a daily and weekly basis to ensure focus on the highest priority and impact areas. Coordinates all planning and preparation aspects of meetings, travel plans, and other events, arranging necessary logistics and materials.
  • Planning - Compiles meeting materials, attends team meetings, creates meeting minutes, and maintains follow-up on deliverables and action items from team meetings. Provides advance planning for the department on key meetings, large events, etc.
  • Communication - Manages incoming and outgoing communications. Collaborates successfully with management and associates in completion of daily administration duties. Acts as a liaison to stakeholders, associates, and third parties on the executive's behalf.
  • Coordination - Provides key support to help drive site lead responsibilities which may include supporting large events, key executive meeting visits, etc. Organizes offsites, virtual offsites, working sessions and all-day meeting logistics.
Qualifications

High School Diploma or GED and 3 years of experience in administrative support roles

Preferred Qualifications:
• 5+ years of experience providing advanced administrative support to multiple senior level leaders
• Intermediate to Advanced Microsoft Office 365 skills, specifically Word, Excel, Outlook and PowerPoint
• Experience with complex calendar management
• Experience with travel planning and management
• Experience with expense reporting for multiple leaders
• Meeting planning experience including both onsite and offsite events
• Exemplary written and verbal communication skills
• Visio experience is a plus
• Concur experience is a plus
• Administrative support experience within financial services is a plus
