Senior Executive Secretary

As an important member of Personal Investing Brokerage Group, you will provide advanced administrative support at the SVP/GM and VP level, within Client Services. The administrative staff at Fidelity plays a vital role in the company's success, and those individuals serving in these positions are recognized by their colleagues as key members of their group, department, or organizational team. You will deal directly with and provide support to management at all levels of the company, and frequently deal directly with customers and business partners. Your excellent communications skills will be constantly put to the test, as will your ability to manage multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced business environment.

The Expertise You Have

  • A bachelor's degree strongly preferred, or secretarial certificate/related work experience
  • Must have 6+ years of Executive Secretarial experience and the ability to interact with all levels of employees.
  • Fidelity experience is strongly preferred.

The Skills You Have

  • Polished executive assistant with professional maturity and previous corporate environment experience required.
  • Ability to effectively interact with senior level management and maintain an elevated level of confidentiality.
  • Proficiency in Microsoft Office software (Word, Excel, PowerPoint, and Outlook)
  • Strong writing and grammatical skills (i.e., for generating and editing memos)
  • Must be extremely detail-oriented and possess strong communication and organizational skills.
  • Strong ability to multi-task, react and think quickly.
  • Self-starter with strong sense of ownership and involvement is critical.
  • Must be flexible enough to work overtime if needed.
  • Excellent time management skills
  • Desire to work as a true partner with Executives and anticipate needs.
  • Willingness to get involved with the work of the larger team.

The Value You Deliver

  • Extensive calendar management utilizing Microsoft Outlook
  • Scheduling and coordination of meetings and training for the group
  • Coordinate agenda/logistics for various team and department meetings!
  • Creation of reports and high-quality presentations utilizing Excel and PowerPoint
  • Coordination of domestic travel arrangements and processing expenses
  • Editing and proofing memos and written correspondence
  • Assistance with larger group initiatives, including moves, space planning, etc.
  • Onboarding of new associates
  • Equipment orders and access requests for the group
  • Maintaining and enhancing group SharePoint site
  • Back-up to other admins within the organization
  • Special projects
  • Other ad hoc duties as needed.
