As the Senior Executive Assistant supporting leaders in the Wealth's Marketing & Social Platforms Team, you're at the heart of our business operations and activities. You partner closely to support multiple members of the leadership team, anticipating their needs and helping them stay focused on the highest priorities by resolving operational and administrative issues before they arise. You are at your best in a fast-paced, ever-changing environment where your strong multi-tasking, prioritization, and self-organization skills can shine. You enjoy building and maintaining collaborative relationships across business boundaries and possess the strong business judgment. You maintain a polished and professional presence needed to interact with senior leaders and peers across the firm. You stay up to date with the latest tools we use to perform our work and use that knowledge to strategically support your team's projects.

Responsibilities include:

  • Extensive and complex calendar management for multiple leaders
  • Handle the scheduling, preparation and administration of meetings including agenda development, coordination of facilities, and distribution and archival of meeting materials
  • Coordinate various events from internal management meetings to external team building events and offsites.
  • Help to build presentations, data spreadsheets and word documents
  • Support travel planning and logistics, working with Fidelity's dedicated travel agents to coordinate travel arrangements
  • Prepare and submit expense reports
  • Work independently to prioritize workload and responsibilities. Coordinate and connect with all management levels, internally and externally, as well as other administrative staff across the company, while maintaining a high level of confidentiality
  • Exercise judgment, tact, and discretion on behalf of senior leaders when supporting executive management, internally and externally
  • Assist in special projects, ad hoc requests as requested
  • Act as a liaison between the leadership and other departments to facilitate communication and collaboration

The Expertise and Skills You Bring

  • Proven ability to consistently and positively contribute in a high-paced, dynamic work environment including the ability to prioritize multiple workstreams and manage work time efficiently
  • Detail and deadline oriented with strong organizational skills
  • A desire to work as a true team partner with the administrative team
  • Excellent analytical, communication and interpersonal skills, with the ability to take initiative and build productive relationships
  • Advanced proficiency in Microsoft Office suite of products with ability and desire to continue to learn new skills and new systems and adapt to new technology
  • Ability to use graphic design skills for creating and editing presentations for leadership use
  • Self-starter with strong sense of ownership, involvement and flexibility, willing to seek clarification or assistance when needed
  • Proactive in identifying opportunities to drive efficiency and problem solving around challenges
  • 5+ years of executive assistant experience supporting leadership, including demonstrated experience effectively interacting with senior level management both internally and with external partners
  • Experience with project management tools and software
  • Ability to handle confidential information with discretion and professionalism
  • Flexible, willing to change easily and quickly as leadership and team priorities change

Fidelity's hybrid working model blends the best of both onsite and offsite work experiences. Having the majority of our associates work onsite is important for our business strategy and our culture.
