Description

FSMB is seeking a highly organized and detail-oriented Administrative Project Coordinator to join our team.

The successful candidate will report directly to the Vice President for Engagement and Member Services, and the Chief Learning Officer. the Administrative Project Coordinator provides executive support for these two individuals, and project coordination support for their respective departments. The Administrative Project Coordinator also serves as a liaison to Committee and Workgroup members, other FSMB departments, and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The ideal individual will be highly organized and detail-oriented, with strong project management skills. They will have the ability to work well with others and to exercise good judgment in a variety of situations, with strong written and verbal communication, and the ability to maintain a balance among multiple priorities. The Administrative Project Coordinator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles and Responsibilities:

- Provide administrative support to department leads and team members, including managing calendars, scheduling appointments, and coordinating meetings.

- Assist in the preparation of presentations, reports, and other documents.

- Maintain and update project files, ensuring all documentation is accurate and up to date.

- Coordinate project activities, including scheduling meetings, tracking deadlines, and managing project timelines.

- Collaborate with cross-functional teams to ensure smooth project execution and timely completion.

- Monitor project progress and provide regular updates to stakeholders.

- Contribute to database management.

- Perform other administrative tasks as assigned.

Requirements and Qualifications:

- Proven experience as a project manager, executive administrative assistant, or in a similar role.

- Strong organizational and time management skills.

- Excellent written and verbal communication skills.

- Ability to multitask and prioritize tasks effectively.

- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

- Knowledge of project management principles and tools.

- Attention to detail and accuracy.

- Experience in working with datasets and/or database management.

- Ability to work independently and as part of a team.

Education and Experience:

- Bachelor's degree in business administration or a related field is preferred.

- Minimum 5 years working in a project coordinator, executive administrative assistant, or similar role.
