We are looking for a talented Office Manager to join our awesome team in Warsaw (Poland). You will organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication.

Requirements

  •  Proven experience as an Office Manager
  •  Experience in working with accounting systems
  •  Leadership skills
  •  Proficiency in MS Office (MS Excel, MS Word)
  •  Excellent time management skills and the ability to prioritize work
  • Ability to make decisions independently
  • Attention to detail and troubleshooting skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • Ability to work from our office (Warsaw, Emilii Plater 28) - on-site (stationary work)

Responsibilities

  • Logging of incoming and outgoing correspondence
  • Maintaining postal services
  • Making money transfers
  • Managing and purchasing office inventory (direct communication with suppliers) 
  • Issuing the monthly invoices for foreign clients in Ifirma program (approx. 10 months)
  • Guests and visitors reception
  • Scheduling meetings and booking meeting rooms
  • Managing access cards according to the established procedures and policies
  • Cooperating with compliance management team
  • Cooperating with the accountant department, HR department, lawyer, and location manager
  • Participating in social activities (and its preparation) within the company
  • Providing information support to employees
  • Booking transfers, hotels, etc. for foreign guests at their request (we have travel coordinators, you will just help her if needed)
  • Taking care of our cozy office
