The Executive Assistant (EA) plays a crucial role in providing high-level administrative support and strategic partnership to the CEO, CFO and General Counsel. The ideal candidate will possess exceptional organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment. This role requires a proactive individual capable of complex calendar and, email management, facilitating seamless communication between internal and external stakeholders both verbally and written and coordinating travel arrangements. The Executive Assistant must exhibit professionalism, discretion, and the capacity to handle confidential information with sensitivity.

The EA will understand and help their execs deliver on the strategic goals of their department and the company.  You will work on a variety of assigned tasks and special projects related to the executive’s working life and communication to help them meet deadlines and commitments. You will conduct research, prepare itineraries, handle information requests and provide administrative support (including preparing correspondence, taking notes/capturing action items, receiving visitors, arranging conference calls, booking travel, arranging meals and scheduling meetings.)

This is a hybrid role that requires the ability to be in office 3-4 days a week.

What you’ll do:

  • Own all administrative support for the CEO, CFO & GC
  • Manage complex calendars with diplomacy, discretion, and excellent judgment including vetting, prioritizing, and providing recommendations
  • Act as the point of contact among executives, employees, clients, board members, investors  and other external partners
  • Schedule meetings and calls ensuring accurate calendar appointments across multiple time zones
  • Manage travel (air travel, lodging, dinners, ground transport, etc.) arrangements, which may require frequent changes
  • Track daily expenses and prepare expense report
  • Ability to start conference room meetings and navigate technology requirements
  • Format information for internal and external communication – emails, presentations, reports
  • Assist with Investor Relations and external communications
  • Partner with internal and external stakeholders to coordinate board prep meetings, board meetings & earnings calls
  • Maintains the executive’s maintain contacts and distribution lists
  • Coordinate to ensure effective communication, follow up and provide reminders on project deadlines and deliverables
  • Responsive and timely in communication 

Who you are:

  • Possess exceptional organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment.  
  • Exhibit strong professionalism and discretion; ability to uphold strict confidentiality 
  • Ability to manage multiple projects simultaneously
  • Excellent Google Suite knowledge, Zoom platform, Expensify (or similar expense reporting software)
  • Experience in booking complex travel, nationally and internationally
  • Experience in preparing spreadsheets, documents & slide deck presentations
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (printers, copy, scanning, video conferencing)
  • Excellent verbal and written communications skills
  • Self starter that is able to work well both independently and in a team environment
  • Knowledge of GSuite including Google Docs, Sheets, Slides
  • Demonstrates organizational and time management skills, ability to prioritize tasks, and attention to detail 
  • Bachelor’s degree or equivalent work experience
  • 7+ years as an Executive Assistant and/or Personal Assistant
  • Polished, proactive professional with a can-do attitude
