Operations Manager

ELS is hiring for the position of Operations Manager in Ocean View, New Jersey.

What you'll do:

Assist in directing the day to day and long term operations of an RV community, including but not limited to Marketing and Sales, Customer Service, Management, Administrative and Maintenance activities by performing the following duties personally or through managing the activities of subordinate supervisors and/or employees.

Essential Duties and Responsibilities:

  • Assist in preparation of market surveys, must have familiarity with competition.
  • Responsible for aspects of asset repositioning and marketing, including preparing homes for rent or sale and maintaining a report of home sales and listings by RSI, other brokers, and individual owners.
  • Responsible for marketing to current residents, including assisting Director of Sales in organizing pro-active promotion of activities and coordination with residents for same.
  • Understand and be able to use the sales process including qualifying, demonstrating the product, overcoming objections, follow up and closing Sell, lease and rent if applicable, Community-owned homes to include following the company sales and leasing procedures including FCRA and other compliance issues and describing lease provisions. A part of this process will also include assisting with the preparation of site plans and being in compliance with state and local permit procedures.
  • Understand financing, to include providing accurate information to customers on financing and facilitation of the financing process.
  • Monitor inventory and assist in tracking the inventory of home furnishings as needed.
  • Respond accurately to questions regarding park rules, regulations and Prospectus (if applicable)
  • Enforce park rules consistently and effectively
  • Send letters to residents to bring homes in compliance with community rules and regulations

Conduct property site inspections

Assist in developing a strategy to meet and exceed resident expectations.

Use professional communication including a proper phone and in person greeting and professional written communications.

Maintain familiarity with HOA.

Utilize effective and professional communication with the group through attendance at board and residents meetings

Conduct new resident orientations.

Demonstrate the ability to solve problems and diffuse anger, including exhibiting patience.

Apply knowledge of senior issues, if applicable.

View residents, employees, co-workers and vendors as customers, i.e. saying Thank You.

Complete Resident application and interview process professionally, con‐

sistently and in a timely manner.

Prepare lease, rental or sale agreements for residents and collect speci‐ fied rents, taxes, assessments, pass-throughs, etc. monthly or as needed. Prepare Rent Increase letters for annual and odd month leases.

Assist Property Manager in areas of operations management. Familiarity with the Business Plan that includes monitoring and working within the budget, reviewing variance reports, and using of ethical business practices.

Communicate with professional, consistent communication with all employees in the Company

Demonstrate efficient time management abilities.

Demonstrate knowledge of and comply with Real Estate Statutes and Codes any other applicable local, state or Federal Regulations or codes.

Assist in financial management including accounting, record keeping, reports, rent increase processes, collections, maintenance of Petty Cash account, purchasing supplies.

Manage vendor and contracting issues to include establishing productive vendor relationships, monitoring certificates of insurance and contract requirements

Organize community files, prepare Weekly Operating Report, Daily Sales

Report, Sales paperwork and titling paperwork.

Assist in the preparation of payroll / employee reimbursement items for the corporate office. This includes assisting with timecard preparation, Travel & Expense report preparation, and completion of Payroll Input Worksheets.

Review, code and process A/P and A/R for the community office. Reconcile MasterCard statements.

Maintain files on financials, MEF's, operating reports, income statements and other financial aspects of the community as required.

Monitor and maintain petty cash system.

Enter information into computerized accounting systems and create reports from that system as needed.

Oversee grounds keeping and all other property maintenance. Other duties may be assigned.

Qualifications

Education and/or Experience - Some college or university; or five or more years as Assistant Manager a manufactured home community or real estate enterprise, or equivalent combination of education and experience. Language Skills -Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.

Mathematical Skills - Ability to apply concepts of basic algebra and geometry.

Reasoning Ability - Ability to define problems collects data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer Skills - To perform this job successfully, you should have above average ability to perform word processing and data entry into spreadsheets, Microsoft Word and Excel preferred. Must possess knowledge of sending and receiving email as well as retrieving information from the Internet.

Certificates, Licenses, Registrations If applicable by state, must have or be able to obtain a sales license for the specific state.

Other Skills and Abilities - Ability to communicate clearly and effectively with customers, co-workers, managers and residents. Possess excellent organization and project management skills, leadership skills as well as the ability to manage and complete multiple tasks simultaneously. Must have the ability to analyze operations and initiate changes to improve property performance.

Order inventory and obtain estimates for repairs.

Process new applications for long-term residency, including background checks and file maintenance.

You may assist the Activities team with hiring entertainment, purchasing supplies and managing ticket sales for events.

Manage the petty cash account, accounts payable and receivable, credit

card reconciliations, cash reconciliations and bank deposits. Manage calendars and perform general administrative tasks.

Solid experience in customer service and basic knowledge of building structures.

Experience coordinating and scheduling appointments.

Experience performing administrative tasks and the ability to manage multiple projects simultaneously and prioritize based on guest needs. Meticulous attention to detail.

Valid driver's license, good driving record and current auto insurance.
