Lease and Property Analyst

A new opportunity to join our Equinix Real Estate team in Amsterdam! The Lease and Property Management Analyst plays a crucial role in overseeing tenant billing, rent payment processes, property management, and providing systems support. Serving as a subject matter expert (SME) on Equinix's real estate portfolio, you will ensure delivery of efficient and accurate tenant billing and rent payment procedures.

Additionally, you will maintain effective communication with landlords and tenants within EMEA, addressing any inquiries or concerns promptly and professionally. As well as collaborating with internal teams to ensure smooth property management operations and contributing to the development and implementation of strategies to optimize performance.

Key skills essential for this role; we are looking for someone who has strong analytical and problem-solving skills, an expert in organisation and multi-tasking, along with excellent communication and a direct knowledge/ experience of the real estate world! Responsibilities

Lease Management

  • Landlord setup and management of landlord correspondence
  • Management of tenant lease agreements
  • Efficiently abstract key information from tenant and head lease agreements for input into Lucernex.
  • Provides advanced support for the lease management system, responding to any escalated issues
  • Maintain Leases: Regularly update and manage lease information
  • Drafts landlord correspondence and supports lease development

Payment of Rent /CAM-AP

  • Responsible for the completion of the rent payment process
  • Identifies need for lease and rent-related reports
  • Responsible for CAM reconciliation
  • Works with the Accounting team to improve processes to avoid payment errors
  • Proactively identifies cost-saving opportunities based on lease terms

Tenant Billing-AR

  • Prepare Billing Files for multiple countries
  • Support Tenant queries
  • Foster positive tenant relationships through proactive communication and issue resolution
  • Prepare CAM budget and Recoveries (must understand General Ledger)
  • Revenue Forecasting
  • Tenant Account Reconciliation
  • Manage leases between retail properties and xScale for diverse spaces
  • Setup of new billing tenants accounts

Property Management

  • Property Management for future datacenter sites
  • Assist with vendor creation and vendor management
  • Act as focal point for the external property management companies
  • PO creation and invoice tracking for property management for true-up purposes
  • Escalation management with SSC ( PO, Invoice payment, vendor master data)

Data Integrity

  • Maintains data integrity to ensure consistency with the portfolio

Cross-Functional Coordination

  • Is a SME on Equinix real estate portfolios and acts as a point of contact for various departments (e.g., finance, sales, etc.)
  • Manages engagement with the Legal team on various documents, such as SNDAs and other similar transactions
  • Handles landlord conflict resolution on major issues while coordinating with other departments as appropriate
  • Collaborate with AR billing to ensure timely and accurate tenant invoice creation.

Landlord Audits

  • Assist the manager with reporting and communication to management and accounting for the results of audits

Qualifications

  • Bachelor's Degree
  • Proven years of experience in lease administration, Property Management or Finance
  • Accounting experience is a plus
  • Strong Knowledge of Microsoft Excel and macros (VBA)
  • Knowledge of financial & procurement systems such as Oracle Cloud & Coupa and Real Estate IT platforms, preferred Lucernex
  • Fluent written/ verbal English is a must; additional languages welcome!
