We are looking for a Senior Office Specialist to join our team. The role is to support the Office with excellent services and administrative assistance to represent the company as the first point of contact for visitors, guests, incoming calls, deliveries, suppliers etc.

Responsibilities
  • Management of the Office Reception & Main Phone during office hours from Monday to Friday
  • Polite and friendly reception of visitors, along with refreshment offerings
  • Efficient handling of phone calls with prompt escalation of messages as required
  • General Administration: Document creation, photocopying, report binding and distribution, presentation preparations, and filing
  • Mail management: Distribution of incoming mail to appropriate staff, organization of Local and Global courier shipments
  • Overseeing meeting room management to ensure proper upkeep at all times
  • Office cost monitoring
  • Collaboration with accounts and payment teams for tracking invoices, processing payments, and obtaining requisite approvals
  • Office condition and equipment maintenance, along with coordination of necessary repairs
  • Coordination of services with suppliers and management of vendor relations to secure cost-effective agreements
  • Initial office orientation for new hires, ensuring provision of necessary work equipment and support as specified by the line manager
  • Ensurance of a safe, pleasant, organized, and clean office environment
Requirements
  • Background in office management
  • Proficiency in both written and spoken English and Croatian along with a professional telephone demeanor
  • Skills in time management and organization
  • Capability to work autonomously and within a team
  • Familiarity with all Microsoft Office programs (including Word, Excel & Outlook) and efficient internet usage
  • Flexibility to manage a busy schedule with exceptional attention to detail
  • Expertise in communication and interpersonal relations with the ability to interact at all levels
  • Possession of an entrepreneurial mindset and openness to various ideas
  • Attributes of resilience, resourcefulness, punctuality, positiivity, and proactiveness
  • Ability to discern matters promptly and respond to internal and external queries
  • Readiness to share knowledge for process enhancement
  • Discretion in supporting activities and managing confidential data
