As we continue to build our team in support of our vision to be the world's best and most trusted mobility company, the Enterprise Mobility Legal team is excited to announce the opening of an Executive Assistant - Human Resources Legal Department.
The Executive Assistant will be responsible for supporting the Vice President of Employee Support Labor and the attorneys within the HR Legal Department. The HR Legal Department provides legal advice, support, and counsel on all aspects of employment law and traditional labor relations to various internal and external stakeholders within the Enterprise Mobility organization.
This position provides high-level administrative support managing complex calendars, travel arrangements, and key communications. This role ensures smooth office operations, handles confidential information, and facilitates the execution of leadership priorities with efficiency and discretion.

Responsibilities
- Manage complex calendars for multiple attorneys; including, but not limited to scheduling business appointments and managing conflicting appointments
- Coordinate and prepare for meetings and events, including agenda preparation, meeting minutes, and follow-up actions
- Coordinate travel arrangements (domestic and international) for attorneys within the HR Legal Department, including flights, hotels, and other necessary items
- Compile data to prepare reports, presentations, and briefing materials
- Create, produce, distribute, and compare reports; perform basic to intermediate analysis of report summaries
- Create, establish, and maintain confidential and secure department documents and filing system
- Oversee administrative functions and ensure smooth operations within the HR Legal Department
- Develop and manage certain administrative processes such as legal holds, subpoena administration, etc.
- Prepare letters, presentations, statements, manuals, agendas and other business documents as needed
- Coordinate basic accounting activities (expense reporting, invoice approval, purchase orders, etc.)
- Screen and prioritize incoming calls, emails, meetings, and correspondence, directing them as appropriate
- Complete ad hoc special projects as assigned
- Potential to expand responsibilities to include more complex legal assistant functions and analyses

Qualifications
Minimum:
- Five (5+) years or more of administrative experience supporting one or more executive leaders; prior experience supporting attorneys is a plus
- Type 60 or more wpm with accuracy
- Intermediate proficiency using Microsoft Office support tools
- Ability to organize, sort, alphabetize and number documents in a timely and organized manner
- Ability to maintain confidential information and discretion
- High School Dipoloma/GED
- Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future
