  • Full-time, 6 days per week
  • Shares emergency duty on a rota basis
  • Holiday entitlement 20 days per annum pro rata
  • Reporting to the Residence Manager
  • Salary confirmed at interview

OBJECTIVES:

  • To ensure that the administration of the residences is run smoothly, efficiently and effectively in all areas
  • To ensure the residences provide a comfortable, safe living environment
  • To maintain EF policies, accreditation criteria and Golden Rules
  • To provide the highest level of customer service at all times
  • To help maintain ‘one team’, where the different departments liaise and interact effectively and efficiently.

 

RESPONSIBILITIES:

 

  • Allocates new bookings to residential accommodation on Elektra within EF’s Golden Rules.
  • Manages changes to residential bookings pre and post arrival, ensuring that effective waiting lists are maintained, updating all information accurately & promptly when changes are made
  • Ensures that correct information about supplements is given and money collected/payment confirmed before changes are effective
  • Sends correct residence information to sales offices in timely manner
  • Assists customers with residence queries, ensuring prompt follow up and excellent customer service
  • Liaises with external suppliers where cleaning/maintenance issues are reported
  • Completes weekly occupancy statistics
  • Ensures the Residence Manager is informed about residence availability, that strategies are put in place when occupancy is low and that the RTI shows accurate availability information
  • Liaises with the customer support team to ensure all residence bookings are confirmed within 24 hours according to EF’s Golden Rules
  • Ensures allocation information sent to residence suppliers is accurate and on time
  • Prepares arrival & departure documents for RA’s, and provides keys for all arrivals
  • Ensures Residence Handbook is kept up to date & edited as required with each print run
  • Follows up any disciplinary issues together with the Residence Manager reported by RA’s and ensures sanctions are applied in line with EF’s residence rules and regulations
  • Liaises with welfare team regarding any issues reported for residential students
  • Assists with the training and monitoring of RA’s and attends regular RA meetings together with Residence Manager
  • Assists with the training and supervision of temporary staff/interns
  • Assists with homestay queries as and when required
  • Participates in student intakes and first week chats
  • Participates in famtours for visiting sales staff
  • Updates residence information for Globalnet
  • Arranges residence feedback questionnaires and residential student council meetings as and when required together with the Residence Manager
  • Participates in fortnightly departmental meetings, and central meetings as and when required
  • Shares emergency on call duties with other school staff.
