Eaton's ES AMER PCS division is currently seeking a Payroll Administrator. This position is based at our Burlington, Ontario HQ and offers a hybrid working schedule.

What you'll do:

The Payroll Administrator is responsible for processing, maintaining, and updating payroll records for approximately 1,500 employees in 10 Canadian divisions, for both salary and hourly payrolls. This role will also be responsible for remitting all related payroll taxes, benefits, garnishments and WSIB premiums as required. Ensuring alignment of the payroll system with Canadian legislation while also ensuing compliance of payroll is a top priority of the role. The incumbent will be able to reconcile payroll sub-ledger to the general ledgers for both salary and hourly payroll, as well as process incentive payouts as required and reconcile source documents to the payroll system.

Additional Responsibilities:

  • Setup and maintain payroll data for approximately 1,500 employees across Canada, including hourly, salary and union employees. Includes both bi-weekly and semi-monthly payrolls for ten divisions.
  • Maintain and remit all deductions, including federal and provincial government remittances, union, provincial health premiums, credit union, RRSP, United Way, garnishments, and WSIB premiums.
  • Calculation of manual pays (advances, returns from leave, corrections, retroactive adjustments).
  • Track and maintain payments for the DCBP to ensure payroll and payments are processed monthly for both active and inactive employees.
  • Prepare annual vested vacation calculations, comparing vacation entitlement versus percentage of vacationable earnings, and then process additional vacation pay, if required.
  • Process and calculate final pays for terminations, including vacation owed, pay-in-lieu, severance/retiring allowances and Records of Employment.
  • Reconcile Revenue Canada and Revenue Quebec payroll tax accounts, and work with auditors when required. Address all Payroll Notice of Assessments as required.
  • Prepare monthly reconciliations for accounts as required (e.g.) Subledger to General Ledger, Incentive files to payroll, etc.
  • Prepare monthly compensation reports for management.
  • Work with Eaton Benefits Centre and U.S. benefits to ensure correct adjustments.
  • Review and prepare annual T4s, T4As and RL1s, and complete summaries for each, for filing purposes.
  • Communicate legislative changes with HR and Finance.
  • Work closely and assist Human Resources team and leadership ensuring complete confidentiality, when required with questions and reports.
  • Work closely with Eaton corporate payroll in the U.S. to ensure compliance.

Qualifications:

Basic (required) Qualifications:

  • Bachelor's degree or post-secondary diploma from an accredited university or college
  • Five (5) years of Canadian payroll experience
  • Previous experience and understanding of Canadian legislation and payroll compliance
  • Must be authorized to work in Canada without company sponsorship now or in the future
  • Must currently reside within 80km of the working location (Burlington, ON) to be considered

Preferred Qualifications:

  • Bachelor's degree or post-secondary diploma from an accredited university with a business/finance focus
  • Payroll Certification (Certified Payroll Manager) degree through the Canadian Payroll Association
  • Experience using ADP Workforce Now
  • Advanced level of competence with Microsoft Excel
  • Knowledge of ROE software from HRDC for completion of Records of Employment
  • Knowledge of GL & AP ORACLE for reports requests
  • Knowledge of the Year-End T4 process, up to Pier Report completion for CRA

Additional Information:

  • Work environment is predominantly office however plant visits and involvement are needed in order to gain a full understanding of the business.
  • Ability to work with others in remote locations required - effective communication across distance
