Eaton's IS VEH VGNA division is currently seeking an Executive Administrative Assistant. This position is based at our Southfield, MI campus and offers a hybrid working schedule.
The Executive Administrative Assistant provides administrative support assistance to a small team of Executives within the Eaton Mobility Group operations. This support includes calendar reviews, travel management, expense reporting, meeting coordination & support, maintain organizational charts, credit certificate issuance, and support field sales staff through usage of purchasing card to support business card ordering, promotional materials ordering, and other expenses required to be ordered through p-cards.
The expected annual salary range for this role is $52499.97 - $76999.96 a year.

What you'll do:
- Travel Support:
- Arrange, through Concur all travel including hotel, flights, and rental cars
- Gather receipts from support team members and submitting expense reports in a timely fashion
- Update light vehicle SharePoint calendar with travel information
- Passport and visa support for international travel
- Calendar support:
- Weekly calendar reviews (either in person or via email) to identify conflicts and resolve
- Establish meetings on behalf of support team including 1:1 meetings, skip level meeting, etc.
- Regular calendar management including management / creation of contact and meeting notices; align with other executive assistants when required to align meetings
- Meeting & Town Hall Support:
- Prepare and distribute meeting agenda and organize any required catering for event
- Develop / gather required meeting presentations and information, if required
- Send pre-meeting questionnaire to participants to generate pre-meeting questions
- Prepare, update, and distribute meeting minutes
- Other Support:
- Update organization charts by 5th workday each month and upload to TEAMS site
- Issuance and mailing of customer credit certificates in support of aftermarket programs
- Notify security of visitors coming to facility and facilitate access to needed rooms and WIFI
- Manage and track receipt of all commission and rebates from supplier programs
- Gain appropriate approvals for p-card purchase requests (promo materials, on-going charges, etc.)
- Quarterly reporting of company car mileage reports to NA Aftermarket leader
Qualifications:
Required Basic Qualifications:
- Minimum of a High School Diploma or GED from an accredited institution
- Minimum four (4) years experience in an administrative function
- Minimum of one (1) year experience with Office 365 products including Excel, PowerPoint, SharePoint, and Teams.
- Must be legally authorized to work in the United States without company sponsorship now and in the future
- No relocation is available for this position. Candidates must reside within 50 miles of Southfield, MI to be considered. Active Duty Military are exempt from this geographical limitation.
Preferred Qualifications:
- Bachelor's Degree from an accredited institution
- Prior experience supporting executive leadership
- Prior experience with scheduling business travel, managing expense reports and utilizing Oracle and SharePoint
- Experience with SAP Concur
