GENERAL PURPOSE OF THE JOB
The Payroll Coordinator I audit time and attendance, and payroll records for large groups in a multi-state, multi-company environment. This position exercises basic knowledge of payroll regulations related to Federal, State and Local laws, company policies and best practices to ensure compliance. The Payroll Coordinator I works with other teams within the Payroll department and across the Village.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Audits, corrects and processes payroll and timekeeping records to ensure teammate's time and pay is accurately calculated based on Federal and State regulations.
- Ensures that the timekeeping system and Workday are in sync by performing the necessary manual entries and documenting changes.
- Verifies Paid Time Off accruals, balances and transfers.
- Works with Payroll Support Center to resolve payroll payment related concerns from teammates utilizing Service Now.
- Prepares and processes daily on demand payments.
- Regularly reviews and resolves transactions in assigned group.
- Recalculates pay due to retroactive changes for hourly rates of pay, missing hours or amounts, due to Workday not supporting various transactions.
- Assists with updating and testing process documentation and participates in system testing.
- Identifies and calculates overpayments. Works with leadership to receive approval to either recoup wages or receive approval for debt forgiveness entries. Communicates to teammates and former teammates regarding overpayment and collection. Processes appropriate Workday and Kronos entries to either record collection of funds or debt forgiveness.

- Performing recurring benefit entries
- Processes reissues for banking rejects, removes payment elections from Workday and communicates to teammates
Required
- 0-2 years of experience
- High School Diploma
- Knowledge of how a paycheck is calculated including pre/post tax deductions and how it translates to the form W-2.
- Basic working knowledge of payroll, processes, procedures and payroll systems.
- Intermediate computer skills and proficiency in MS Word and Excel
- Deals with confidential information and/or issues using discretion and judgment.
- Payroll processing experience in a fully integrated HCM environment
- Working knowledge of timekeeping processes and systems
- Multi-state payroll experience
- Ability to identify and recommend process improvements
- FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) accreditation or actively studying for accreditations
Travel: N/A
Work Schedule: Ability to flex schedule to support business need, including the ability to start between 6am and 7am regularly and work up to 5pm on payroll processing days.
Nights/Weekends: Overtime up to 5% as needed and likely during year end and holidays.
Language Skills
Fluent in the written and verbal skills necessary to successfully perform the essential functions of the position.

Work Environment
Level III - Moderate noise (e.g., business office with computers or printers, light traffic). No required tasks involved greater exposure to blood, body fluids or tissues than would be encountered by a visitor. Visual Requirements
Vision adequate to perform the essential duties/responsibilities of the position. May be required to demonstrate the ability to differentiate colors on a test strip.
Physical Demand
Physical requirements can vary. These must be reviewed with management. However, in general, the position requires the following activities:
- Ability to lift a minimum of 5 lbs to a max of 50 lbs unassisted and able to stand, sit stoop, walk, stretch, reach, and use full range of body motions.
- Manual dexterity as required for specific equipment and ability to use computer keyboard and peripherals.

Salary/ Wage Range
$18.50 - $30.00 / hour
Compensation for the role will depend on a number of factors, including a candidate's qualifications, skills, competencies and experience and may fall outside of the range shown.
