DESCRIPTION

In this role, you will make an impact in the following ways:

  • Efficient Data Management : By accurately gathering, compiling, and entering data, you'll ensure that reports, presentations, and forms are reliable and up-to-date.
  • Administrative Support : Conducting research and preparing statistical reports will help your team make informed decisions and address routine information requests efficiently.
  • Streamlined Operations : Assisting with data collection, entry, and report generation will support various departmental activities and improve overall workflow.
  • Effective Communication : Preparing correspondence, arranging meetings, and scheduling conference calls will facilitate smooth communication within the team and with external parties.
  • Prompt Inquiry Response : By responding to or redirecting routine inquiries, you'll ensure that callers and visitors receive accurate and timely information about the organization or department.
  • Vendor and Supplier Coordination : Preparing and submitting documentation for payments will help maintain good relationships with vendors and suppliers, ensuring timely and accurate transactions.
  • Policy and Procedure Maintenance : Documenting and maintaining departmental policies and procedures will ensure consistency and compliance within the department.
  • Team Collaboration : Participating in business improvement projects and other routine administrative activities will contribute to the team's success and continuous improvement efforts.

RESPONSIBILITIES

To be successful in this role you will need the following:

  • Utilize Hospitality Tools and Technology: Support hospitality services by effectively using equipment and information technology to deliver a seamless and exceptional experience.
  • Promote Continuous Improvement: Always look for ways to enhance processes and services, contributing to the overall success and efficiency of the organization.

Education, Licenses, Certifications

High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulation

This position may require licensing for compliance with export controls or sanctions regulations.

Experience

Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience. Conducting research when requested, including but not limited to: Price comparisons on products and services Present accurate cost analysis in a clear format including vendor name, price per unit, shipping or other cost included, anticipated usage and inventory, whether it is like-for-like or different, etc. Look for cost effective product options.

QUALIFICATIONS

Additional Information:

  • Prepare monthly financial reports
  • Financial tracking
  • Document purchase orders and maintenance status
  • Travel and purchasing card consolidation
  • Update and manage vendor contact list.
  • Update org chart and GIS - Hospitality contact list
  • Placing maintenance tickets
  • Coordinating maintenance visits including vendor permissions and permits
  • Escorting maintenance workers while onsite
  • Schedule meeting for the team when requested.
  • Order staff meals when requested.
  • Ariba, RFP, RFI, RFQ, etc.:
  • Prepare MOC documentation for new projects and construction.
  • Van registration, renewal, and gas tracking.
