Project Coordinator, Device Management

Plans, monitors, and coordinates Device Management activities from initiation through completion. Performs routine data compilation and review of center device management metrics. Facilitates the device transfer logistics within the CSL device fleet, loaner service equipment and tools to support the centers and Device Management Teams requirements.

Responsible for interfacing with vendors for the return and status of tools/equipment returned for calibration and or repair. Monitors the calibration date for Device Management tool/equipment ensuring compliance.

This position is located on site in King of Prussia, PA.

1) Create, manage, maintain, and update schedules for Device Management activities and or projects.

  • Develop timelines for completion of tasks.
  • Assure that schedule data (e.g., milestones) is provided as required.

  • 2) Lead department logistic activities.
    • Maintain accurate records of budgeted and actual freight expenditures
    • Coordinate transfers of plasma collection devices and loaner service equipment.
    • Coordinate the return of service equipment/tools for routine calibration and or repairs.
    • Maintain accurate records of service equipment/tools calibration dates and return to/from vendors.

    3) Assist in the Kinari software and or configuration upgrade activities.

    4) Coordinates departmental meeting activities as directed.
    • Schedules meetings
    • Coordinates logistics
    • Takes meeting notes/minutes
    • Drafts and distributes departmental communications

    5) Help to ensure effective communication, documentation and reporting as directed.
    • Administers project/program TEAMS channel at the direction of the Manager of assigned projects/programs.
    • Assures that project/program documentation is maintained and appropriately stored and accessible as required.
    • Supports the creation and distribution of project/program reporting at the direction of the Manager of assigned projects/programs.
    • Supports effective team and external communication.

    6) Helps to manage vendor relationships as directed.

    7) Supports effective onboarding and offboarding of project/program team members.

    8) Supports the Device Management Team by coordinating activities and resources and performing administrative functions.

    9) Maintains a detailed schedule of Device Management activities which includes administrative tasks.

    10) Develops presentations and reports at the direction of the Device or Innova Departments Management.

    11) Prepares, edits, and publishes or distributes meeting minutes, presentations.

    Education

    College degree, preferably in a related technical subject, business or industry-related subject OR equivalent related work experience.

    Experience
    • 1 - 3 years' experience in related fields and/or in the area of project coordination, customer support and administration. Experience in using formal project management methodology, techniques, and tools.
    • Proficiency in SmartSheet and DMS.
    • Proficiency in Microsoft Office suite of products (Word, Excel, PowerPoint, Outlook); experience with Microsoft Project and Visio preferred.
    • Demonstrated communication and interpersonal skills.
    • Six Sigma training preferred.

    • Scheduled travel to quarterly meetings.
    • Fast paced environment with frequent interruptions.
