Receptionist/Office Support, Support Services
Location: Guernsey

Schedule: Monday to Friday 36.25 hours per week

Intro:

In this role you will be a support to key stakeholders, as well as providing administrative and office support across the wider office.

Our aim is to provide a seamless, efficient, and paperless service to internal and external clients with service excellence at the heart of all that we do.

Some of the things you will be doing:

  • Manage switchboard: be able to use Webex telephone system to answer and forward calls to the relevant departments. Support and work closely with the Jersey reception team to manage switchboard cover when required.
  • Be available to cover front of house and client suite duties with flexibility to cover planned/unplanned absence and for some occasional functions held out of hours.
  • Manage the requirements of light refreshments and food orders for meetings
  • Training new joiners on the Envoy Visitor Management system
  • Check for cleanliness & refreshment levels in the client suite so the suite is ready for occupants, clearing used crockery and loading the dishwashers when meetings have concluded.
  • Weekly stock check of consumables for the client suite and staff refreshments
  • Weekly stock check of stationery levels
  • Meeting and greeting office visitors, clients, contractors and caterers. Issuing any required co-tags and logging details into Envoy for concierge.
  • Registering of incoming post/couriers and preparation of outgoing post/couriers via DHL and Guernsey post online system. Forwarding proof of delivery notifications to administrators.
  • Registering contractors, caterers & couriers into our online Visitor Management system (Envoy) for Concierge to log in
  • Ordering branded stationary such as envelopes, compliment slips etc.
  • To organize the storeroom for better accessibility and safety.
  • Meet and greet external visitors on site as a secondary host to ensure visitors receive a warm welcome and seamless arrival into our office, if the primary host is not available.
  • Arrange external messenger services on demand via TPS
  • Review of courier, Guernsey post, and taxi invoices to ensure all details correct and re-charge to clients when required.
  • Support with event organisation in Guernsey and elsewhere as required
  • Arrange taxi bookings, advance and on demand for visitors and staff.
  • Support the Office Manager, HR and Global Facilities where required with administrative tasks or projects
  • Any other reasonable tasks associated with the role, including working closely with and assisting other team members
  • Reconciliation of invoices, before sending to accounts
