Position Overview
We are seeking a detail-oriented and organized Scheduling & Operations Coordinator to join our team and provide support in the areas of scheduling management, and construction operational coordination. The ideal candidate will possess strong analytical skills, exceptional attention to detail, and the ability to handle multiple tasks simultaneously. This role requires effective communication and collaboration with construction managers, project managers and field supervisors to ensure accurate and efficient daily schedule and weekly schedule and operational coordination.
Key Responsibilities (Essential Duties & Functions)
- Actively maintain an accurate scheduling platform
- Transfer schedule information from scheduling software to Excel sheet, including crew details, job specifications, trucking demands, material demands and equipment requirements.
- Contact each project manager or supervisor to verify the accuracy of schedule information, such as job number, address, project phase(s), target, and equipment needs on a daily basis.
- Email preliminary and final schedules to all relevant contacts.
- Import new jobs to scheduling software as they are set up.
- Conduct a daily schedule call at 3 PM, communicating the evening and following day's schedule to all involved parties and noting any necessary changes for the revised schedule.
- Daily, weekly, and long-term scheduling with equipment and personnel
- Assist paving and milling manager with associated operational activities. Including assisting the milling and paving manager with asset management and material demands.
- Maintain tack inventories, assist with scheduling tack drivers.
- Review & send daily preference metrics.
- Compile data from milling and paving performance tools and distribute to stakeholders on a daily and weekly basis.
- Projections for volumes, mix types, liquid types, and average selling prices.
- Prepare and distribute Preliminary schedule for review and verification by all stakeholders.
- Edit and adjust schedule as necessary, obtaining verification from project managers or supervisors on a daily basis.
- Review and assess the effectiveness of programs used to streamline processes, improve efficiency, and provide guidance to others on their usage.
- Maintain and update various spreadsheets, including data entry.
- Assist with the creation and distribution of annual subcontractor packets, maintaining an Excel sheet of subcontractor information and tracking returned contracts.

- High school diploma or equivalent; related industry experience
- Proven experience in coordination, or a related field.

- Ability to manage multiple tasks and prioritize effectively.
- Problem-solving skills and the ability to troubleshoot technical issues.
