Position Summary

The Legal Senior Coordinator will provide a variety of administrative and project-based services, including general administrative support services for members of the Corporate Legal Team, including four attorneys and several legal professionals. This role will report directly to the SVP, Corporate Counsel.

A successful candidate will be a tech-savvy, creative, self-motivated individual, with the initiative to learn new tasks and contribute to the success of the team. Competence collaborating with team members in a prominently in-office work environment, as well as balancing the needs of busy corporate executives is a must.

  • Calendar routine internal and external meetings using Microsoft Outlook; precise calendaring of complex, high-profile meetings supporting various internal business processes; manage calendars and resolve meeting conflicts for the Corporate Legal Team
  • Process invoices through Ariba, which includes expediting invoices as needed, coordinating with accounting and finance to resolve reclass issues, and with tracking invoices against budgets
  • Coordinate, plan, and schedule travel and itineraries for the Corporate Legal Team in accordance with corporate policies and procedures
  • Prepare and process expense reports using Concur in accordance with corporate policies and procedures
  • Execution of internal legal and compliance processes supporting key corporate functions using various Microsoft tools (Excel, Word, etc.) and cloud-based platforms (Workiva, hCue, etc.)
  • Work under supervision of Corporate Legal Team personnel to manage corporate records, including physical file storage, offsite storage, and digitization of hard-copy books and records and digital document management
  • Coordinate legal subscriptions for the legal department, including tracking users, coordinating vendor training, and renewals
  • Prepare and process legal accruals for outside counsel spend
  • Create, maintain, and update information in matter management system and other databases
  • Search and retrieve correspondence or documents from matters, save correspondence and documents in the appropriate format in a timely and accurate manner, and run reports from matter management system
  • Conduct legal research, including researching case law, statutes, and regulations
  • Prepare and process written correspondence, including monitoring mailroom deliveries
  • Assist with preparing reference materials, training guides/manuals, presentations, etc.
  • Assist in the review and approval of relevant materials to ensure compliance with legal requirements and industry regulations
  • Support the management of contracts and agreements, including drafting, reviewing and negotiating contracts under the guidance of corporate counsel
  • Prepare/draft legal documents, including contractors, policies, and corporate filings. May provide review to drafts prepared by other coordinators

Project:

  • Provide support for various corporate legal projects and ongoing compliance activities, including public company reporting, corporate governance, executive compensation and employee benefits, generative AI, privacy and information security, and other strategic initiatives
  • Track information in various databases and generate reports as needed
  • Leverage the following systems: Legal Files, Ariba, Concur, hCue, Workiva, Iron Mountain Records Management, Diligent Boards, Microsoft Teams, WebEx

Qualifications:

  • 3-5 years of advanced administrative/office support (experience in a legal environment strongly preferred)
  • High School diploma required
  • Four-year college degree or paralegal certificate preferred
  • Extensive Microsoft Office applications (Word, Excel, PowerPoint, & Outlook) experience and skills including advanced knowledge of settings and shortcuts
  • Ability to work independently with minimal supervision and collaborate in a team environment
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Experience in the beverage or consumer packaged goods industries preferred

Physical Requirements/Other:

  • Must be able sit and/or stand for long periods of time, and work on a computer for extended periods.
  • Ability to lift up to 25 lbs. regularly.
  • Must have a valid driver's license.
  • Must be at least 21 years of age.

The salary range for this role is:
$29.05 - $42.68

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee's pay position within the salary range will be based on several factors including, but limited to, the prevailing minimum wage for the location, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.
