In this role, you will work directly with the tech team pre and post deployment to ensure all changes to the system are properly documented and rolled out with an easy-to-follow user guide. A key part of the responsibilities will involve creating and updating training materials, documentation, and user guides for stakeholders to ensure that all teams interacting with Galaxy are thoroughly trained and kept informed about new rollouts and system updates.

The systems admin & training coordinator will work closely with the Development team, VP of Process & Efficiency, and EVP of Innovation while also troubleshooting issues and driving system improvements.

Key Responsibilities

• System Management:
Become and SME on all deployments, configurations, and maintenance with the Galaxy infrastructure. Monitor system performance, availability, and reliability.

• Troubleshooting and Support:
Provide insight for technical support team for system issues to internal teams. Work with Tech/Dev team when diagnosing and resolving system malfunctions. Document troubleshooting steps and resolutions for future reference.

• User Access Management:
Manage user accounts, roles, and permissions within our new system. Implement and maintain procedures for user onboarding and offboarding.

• Ensuring Business Continuity:
Work cross functionally to ensure business continuity for Galaxy. Collaborate with the Development team and EVP of Innovation to align system enhancements with business needs and technological advancements.

• Systems Optimization:
Identify and report proposed improvements to enhance Galaxy's efficiency and user experience. Work closely with developers and other stakeholders to optimize system integration and functionality.

• Documentation and Reporting:
Maintain comprehensive documentation of system configurations, procedures, and changes. Create and update training materials and user guides to support end-users and internal staff. Provide training sessions and workshops to ensure effective use of Galaxy and address user queries.

• Training and User Guides:
Develop clear and detailed user guides for Galaxy. Create training materials, including presentations and tutorials, to facilitate user onboarding and ongoing education. Update training resources based on system updates and user feedback. Ensure all teams who interact with Galaxy understand new rollouts, how-to's and system changes.

What will you bring to the role

As you've probably gathered by now, we are looking for somebody who is familiar with implementations and user training and testing and possesses a good understanding of how the wider team works together to successfully achieve the team and wider department goals and objectives.

Other key skills required for the role include:

  • Bachelor's degree in a relevant field or experience in similar field
  • Minimum of 3+ years of experience as a Systems Administrator, with a focus on managing applications.
  • Project management certifications, lean six sigma certification, user experience and training experience (preferred)
  • Previous experience creating and implementing user guides and conducting training sessions, visualizations, etc.
  • Excellent problem-solving skills and the ability to work under pressure - Ability to understand the big picture and keep the big picture in mind when solving any problem no matter the size.
  • Strong communication and interpersonal skills, with the ability to create clear and effective documentation and training materials.
  • Adeptness at documentation, communicating across multiple stakeholders, as well as exceptional training skills
  • Experience working closely with development teams, business stakeholders, and innovation leaders.
