We're looking for an enthusiastic and customer-focused Receptionist to join our Edinburgh office! In this vital role, you'll be the first point of contact for visitors, providing exceptional customer service while supporting our Facilities team to ensure everything runs smoothly.
As a Receptionist, also known as a 'Facilities Administrator' at Computershare, you'll play a key role in keeping our office secure and maintaining a welcoming environment. You'll manage building access, oversee visitor check-ins, and help maintain a safe, efficient, and well-organized workplace for all employees

This is an exciting entry-level position where you'll gain exposure to a range of activities, including supporting our Health and Safety initiatives, working closely with Global teams to implement policies, and assisting in the collection of data for key programs like ESG, Workplace Occupancy, and Health and Safety. You'll also work closely with the Facilities Manager and other Global Subject Matter Experts, helping to ensure the highest standards of office operations and maintenance are upheld.
• Greet visitors with a warm, professional demeanor, manage sign-in/check-in processes, and handle general inquiries with efficiency.
• Oversee site security, including access management and ensuring a smooth entry process for employees and guests.
• Assist with day-to-day building management tasks to maintain a safe and comfortable working environment.
• Work alongside our Global Health and Safety SME and other teams to implement safety policies and report key data for global programs.
• Assist in various programs related to workplace design, occupancy, and ongoing facilities projects.

Key accountabilities:
• Liaise & coordinate with business occupiers
• Manage facilities inbox or other ticketing systems
• Help with access control administration & visitor management
• Conduct inspections as assigned
• Complete car parking administration and manage vehicle fleet
• Help administer contractors, consultants, and Landlords, purchase orders & invoices
• Lead fire warden duties and act as first aid contact point
• Conduct catering & event management support
• Coordinate meeting room management & room set ups
• Support the business with VIP visits & events
What will you bring to the role?

Essential:
• General Corporate office environment business experience, preferably within Facilities
• Previous experience as a receptionist is needed
• Intermediate MS Office skills
• Excellent oral and written communication skills
Preferred:
• Experience in the Facilities Management field
• First aid certificate.
• Understanding of or qualification in health and safety.
• Experience of administration of third party services.
