This is a hybrid position primarily based in Melbourne, Sydney City. If so, Computershare has a great opportunity for you! As a Project Coordinator in our Meeting Services team. You will work in a supportive and collaborative environment delivering services to corporate clients in relation to their shareholder meetings (e.g. Annual General Meeting). You will work closely with our clients to ensure all steps of their shareholder meeting are planned, actioned and when required, reviewed in order to meet deadlines from mailing out documentation to registering shareholders at the meeting and providing reports for release to the ASX.

This position will give you ample opportunity to interact with clients and build relationships externally and internally. You will be learning about ASX listed companies and build a skill set strong in customer service and managing stakeholders.
A role you will love
Working with a supportive manager and an experienced team, your role is pivotal to our ability to retain our clients and ensure they are satisfied with Computershare. You will be expected to use clear and succinct communication and maintain general meetings specific knowledge and expertise to ensure exemplary customer service when coordinating internal logistics and the successful execution of six-to-eight-week corporate projects. This involves liaising with client contacts, who range from investor relations staff and company secretaries to directors, and internal departments to prepare and manage the dispatch of printed and digital shareholder documentation, proxy voting, client reporting, and responsibilities on the day of the meeting.
Shareholder meetings are major events on the corporate calendar which are usually held in hotels, conference centres and boardrooms across the city. You will be provided with regular opportunities to attend various venues outside of the office, which may also involve regional and interstate travel. This is an evolving and exciting industry with new systems and technology in development to cater for the growing virtual meeting market which provides new possibilities for your personal development.
Some of your key responsibilities will include:
- Liaising and collaborating with internal and external stakeholders
- Compliance with internal procedures and policies as well as corporate legislation
- Using internal project management systems to track key milestones and update stakeholders
- Effectively deliver and manage the expectations of both internal and external stakeholders with a high degree of customer service and quality
- Ensuring quality assurance of shareholder communications
- Pro-actively learn new skills and assist others within the team when required
What will you bring to the role?
As you've probably gathered by now, we are looking for somebody with a real passion for customer service that would enjoy building relationships with the client as well as the team.
Other key skills required for the role include:
- Excellent written and verbal communication skills
- A high level of attention to detail
- Ability to manage changing priorities and strong time management skills
- Ability to work both independently and within a team
- High level of initiative, flexibility and has problem solving skills
- Strong PC skills with a high level of familiarity with MS Office products
- Possess and display a positive, enthusiastic attitude & strong work ethic
- Ability to work well under pressure, maintaining professionalism and focus on quality
- Willingness and ability to learn quickly
- Knowledge of shareholder meetings, proxy voting and the financial services will be highly regarded
