If so, Computershare is thrilled to announce two new positions as Project Coordinator available in our Meeting Services team! You will be part of a supportive and collaborative environment where your contributions are valued and integral to our success. You'll be delivering services to corporate clients in relation to their shareholder meetings (e.g. Annual General Meeting), working closely with our clients to ensure all steps of their shareholder meeting are planned, actioned and when required, reviewed in order to meet deadlines from mailing out documentation to registering shareholders at the meeting and providing reports for release to the ASX.

This role offers a unique platform for you to interact with clients and build relationships, both externally and internally. A role you will love

As a Project Coordinator, your role is pivotal to our ability to retain our clients and ensure their satisfaction with Computershare. Working with a supportive manager and an experienced team, you will be expected to use clear and succinct communication and maintain general meetings-specific knowledge and expertise. This will ensure exemplary customer service when coordinating internal logistics and the successful execution of six-to-eight-week corporate projects. Your interactions with client contacts, who range from investor relations staff and company secretaries to directors, and internal departments, will be instrumental in preparing and managing the dispatch of printed and digital shareholder documentation, proxy voting, client reporting, and responsibilities on the day of the meeting.

Shareholder meetings are major events on the corporate calendar which are usually held in hotels, conference centres and boardrooms across the city. You will be provided with regular opportunities to attend various venues outside of the office, which may also involve regional and interstate travel. This is an evolving and exciting industry with new systems and technology in development to cater for the growing virtual meeting market which provides new possibilities for your personal development.

Some of your key responsibilities will include:

  • Deliver meeting projects with exceptional customer service and quality
  • Handle client inquiries via written communication, email, and telephone
  • Create and adhere to timelines for Internal/External milestones with proper authorisation and documentation
  • Invest adequate time in every project phase from planning to execution and debrief
  • Exceed expectations of Internal and External Clients with a professional and organised approach
  • Ensure compliance with procedural documents (checklists, procedures, system user guides, etc.) and identify risks within the end-to-end process on ad hoc jobs
  • Pro-actively learn new skills and provide team assistance when needed

  • Demonstrates a high level of attention to detail
  • Excellent interpersonal and communication skills
  • Capable of working independently and collaboratively within a team
  • High level of initiative, flexibility and problem solving skills
  • Strong PC skills with a high level of familiarity with MS Office products
  • Possess and display a positive, enthusiastic attitude & strong work ethic
  • Be self-motivated and proactive
  • Strong written and verbal communication skills
  • Possess the ability to work well under pressure, maintaining professionalism and focus on quality
  • Knowledge of SCRIP and financial services will be highly regarded
