We are currently recruiting for an Assistant Officer to join our team. The Customer Operations - Shareholder Servicing team is a function in our HK Operations team responsible for Shareholders Payment and Certificate Replacement in related operations and processing.
The Assistant Officer will be responsible for the day-to-day payment and certificate replacement process, update the requirements according to the procedures of work item processing, and to ensure the payment and share certificate replacements processed are compliant with the regulations.

A role you will love
You are responsible to process day-to-day certificate replacement cases including, issue letters to shareholders with required replacement documentation; and issue letters to HKEX for the stop certificate notification; and other administrative tasks. Additionally, you will need to process day-to-day dividend warrant replacements and revalidation cases; FPS or autopay rejections and related replacement cheque handling; issue letters to bank or issuer for stop payment or re-issue replacement cheque.
Some of your key responsibilities will include:
• Co-ordinate tasks with different teams (Operations, Investor Services, Client Facing, Legal and Compliance, etc)
• Ensure all shareholders' instructions can be delivered up to standard and within agreed timeframes
• Ensure all shareholder replacement requests are handled accurately in the system under standard internal audit process
• Communicate and work closely with offshore teams
• Comply with all applicable operation procedures and report any potential risk and suspicious transactions to line manager immediately
• Adapt to changing internal business requirements and expectations
• Highly adaptable to market changes
• Provide timely support for any ad-hoc and special requirements e.g. Attending AGMs
What will you bring to the role?
You have a passion for working with people and building strong relationships. You have a Degree in any field and some relevant working experience, preferably in operations. You are a proactive and reliable person who can handle multiple tasks efficiently. You are skilled in MS Office applications and Chinese word processing. You can deliver high-quality work under tight deadlines.
