Corporate Trust (Governance and Administration) is a division within Computershare, Corporate Trust (CCT), responsible for providing administrative services to Canadian Corporate Trust clients.

The Administrator role operates within the division at a local level, however services the needs of clients at a national level, and must deliver within strict customer service guidelines which include successful delivery of administrative obligations within strict timeframes. Further, the Administrator must ensure that all activities are carried out with full adherence to all compliance and regulatory requirements.

The Administrator is also expected to work collaboratively across the teams within the same department, supporting continuous improvement and projects related to such role.

A role you will love

The Administrator administers a portfolio of accounts and is responsible for the daily administration of trust accounts including, but not limited to, execution of deposits, disbursements, investment of client funds and safekeeping of assets/securities, as directed by the Corporate Trust Officer and other branches within Computershare, or the client itself. The Administrator monitors their work flow to ensure that work volumes are handled effectively and processed in a timely manner as well as adheres to the policies and procedures in accordance with audit, regulatory requirements and departmental expectations.

Key responsibilities include:

  • Following client instructions/directions, contact brokers/ traders and book and execute investments; diarize and reinvest maturing investments; process tickets/entries and confirm investments to clients
  • (Toronto only as the Centralized Trade Unit) Process trades for the Corporate Trust branches, diarize and reinvest maturing investments, process investment tickets, confirm investments to branches, send out reminder emails regarding upcoming maturities on a daily basis and check with traders on a daily basis for best rates.
  • Back-office administration for Denver branch - Initiate outgoing wire transfers on GIFT, process all withdrawals and deposits of assets on Cosmos Assets and reflect investments and cash movements on Cosmos Trust.
  • In accordance with instructions from clients and Corporate Trust Officers, effect disbursements by cheque & wire, process all relative entries on ADP, Cosmos Trust and GIFT within prescribed deadlines.
  • Reconcile cash balances in all client accounts daily to ensure accurate transactional postings, overdraft positions are identified, researched and promptly rectified and to invest surplus cash in compliance with client directions or governing agreements
  • Submit all transactional activity fees to the Billing Unit on a monthly basis and ensure full review of draft invoices produced by prescribed deadlines
  • Ensure client files are properly maintained with all correspondence and client instructions filed in date order for audit and reference purposes
  • Handle client inquiries, providing copies of documentation to both internal and external clients, as required, research and resolve relevant client issues
  • Provide all tax reporting details, as required or as instructed by Corporate Trust Officers, to the National Taxation Unit within their prescribed deadlines to ensure timely tax filings and reporting to CRA and IRS
  • Monthly/Weekly reports to Clients, as requested
  • Perform calculations as required by the governing document or as requested by the Corporate Trust Officers

What will you bring to the role?

  • Comprehensive knowledge of investment options would be a very strong asset
  • Strong knowledge of PC applications (full suite of Microsoft applications including but not limited to Word and Excel, Outlook and SharePoint Navigation ) is required.
  • Strong ability to multi-task and work in high-pressure circumstances
  • Strong communication skills
  • Full fluency of the English language - Bilingualism in English/French would be an asset
