This is a hybrid position primarily based in Toronto. A role you will love

As a Dividend Reinvestment Administrator, you will be responsible for excellent service relating to the reporting of the Client Company's dividend funding obligations and accurate allocation of shares to be issued as a result of dividends reinvested on behalf of the client's shareholders participating in a Dividend Reinvestment Plan is managed appropriately.

Superior customer service must be provided in the processing of all transaction requests received from individual shareholders, brokers, and depositaries. Ensure accuracy and timeliness of transaction requests while verifying compliance with the unique terms and conditions governing each Plan and Client service agreement and internal service standards is always maintained. Furthermore, it is imperative that each Administrator ensures that appropriate fees are charged to our clients or collected from Plan Participants at the time of transaction in accordance with the unique terms and conditions governing each Plan and Client service agreement.

Some of the other key accountabilities:

  • Read, understand and interpret often complex legal documentations such as Plan Texts and Plan Service Agreements, procedural manuals, as well additional instructions, or requests received from clients, in order to recognize and correctly apply the unique Plan requirements during the daily administration of each Plan.
  • Ensure that all processing is completed accurately and in the time standards required based on client requirements and/or internal standards.
  • Ensure compliance with the unique terms and conditions as well as internal service standards governing each Disbursement, Plan and/or Client service agreement.
  • Validate critical incoming disbursement/dividend reinvestment criteria to ensure appropriate logic is being applied throughout entire process.
  • Ensure that all applicable fees are charged and processed accordingly.
  • Provide accurate and timely service and advice based on a full understanding of the client's requests and our internal standards/procedures.
  • Cross-train between various units under the Disbursement umbrella and apply such knowledge on a regular basis.
  • Read material requiring understanding of content in items such as instructions, procedure manuals, resolutions and correspondence.
  • Write or modify text to accurately communicate to others using precise language to avoid misunderstanding of sometimes complex information.
  • Use basic arithmetic, established arithmetic formulas or procedures to calculate or prepare information.
  • Plan most aspects of their own work within specified deadlines with occasional need to change the priorities of the job.
  • Perform routine, specialized or technical tasks, or procedures requiring specialized knowledge of the requirements to pay dividends or interest and/or administer reinvestment plans.
  • Must be able to cross-train between various units under the Disbursement umbrella and apply such knowledge on a regular basis.

What will you bring to the role?

Some other key skills that you'll have:

  • Canadian Securities Course recommended, but not a requirement for the position.
  • Bilingual French, both written and spoken, preferred but not required.
  • Must have excellent Microsoft application skills.
  • Must be well versed in Excel
  • Must have excellent verbal & written communication skills.
  • Post Secondary Education in the Business/Financial services or Accounting fields (Preferred)
