We are looking for an exceptional individual to be a key functional lead on the legal operations team. You will help to ensure that the legal department is set up operationally to succeed through close coordination across all teams and standardized processes for efficient execution. This role reports to the Chief of Staff to the CLO & Director, Ops & Strategy.
What you’ll be doing (ie. job duties):
- Oversee expense management, law firm and vendor spend, and budgets for the Legal, Policy, and Compliance departments.
- Ensure operational excellence in the processes related to the legal e-billing system, vendor and contractor onboarding, law firm billing guidelines, law firm engagement letter review, and conflicts of interest; perform day to day tasks regarding the same.
- Communicate with the finance team and law firms on invoicing and accruals.
- Partner and advise legal department leadership on budget strategies, law firm management, and alternative fixed fee arrangements.
- Develop and implement a top tier law firm panel program (aka preferred vendor panel). Further develop and maintain the spend optimization strategy with outside counsel.
- Respond to routine inquiries from internal teams and provide training on business processes and use of systems as it relates to vendor management and e-billing.
- Develop positive, strong, and collaborative relationships with cross-functional partners to enhance our effectiveness and ability to deliver on tasks.
What we look for in you (ie. job requirements):
- Bachelor’s Degree with at least 6 years of relevant experience at a comparable in-house practice – preferably at a high growth technology company
- Vendor, specifically law firm spend management and e-billing experience, including experience with law firm panel programs and negotiating alternative fixed fee arrangements
- Passion for all things operations related, with a willingness to dive into new projects of all shapes and sizes.
- Ruthless attention to detail and exceptional professional judgment. Excellent organization and communication skills with the ability to develop, implement, and enhance processes.
- Ability to execute under pressure and within tight timelines while juggling multiple projects.
- Willingness to roll up sleeves (no job too big, no job too small). A self-starter with enthusiasm, who can work independently with minimal oversight on certain projects but who is also a team player and can support projects when needed.
Nice to haves:
- Familiarity with Onit or other comparable legal e-billing system.
- Proficiency with Adobe Pro, Asana, Confluence, DocuSign, Google Workspace, Jira, Lucidchart, Office 365, and Slack
