C.H. Robinson is seeking an Office Manager for our Barcelona's office.

The Office Manager works well in a dynamic environment with high demands around a broad spectrum of responsibilities. The person must be confident, fully engaged, service oriented and committed to providing meticulous attention to detail. The Office Manager has a hands-on mentality and desire to deliver a consistent service and are a highly organized individual with proven tools and processes to keep the office and the executive team running efficiently.

DUTIES AND RESPONSIBILITIES

The duties and responsibilities of this position consists of, but are not limited to, the following:

  • Reception Management: Handle phone calls, greet visitors, manage incoming/outgoing post, and courier packages.
  • Office Supplies: Order and maintain office, kitchen, and stationary supplies; manage supplier contacts.
  • New Employee Onboarding: Prepare furniture, telecom equipment, and supplies for new hires
  • Cleaning and Maintenance Oversight: Coordinate cleaning services, repairs, and general office upkeep.
  • Emergency Preparedness: Oversee first aid supplies, evacuation procedures, and office safety protocols

  • Building and Supplier Management: Liaise with building service providers and other external suppliers for upkeep and cost management.
  • Event and Meeting Coordination: Arrange on-site/off-site meetings, including travel and accommodations.
  • Calendar and Travel Management: Maintain executive calendars, plan meetings, and book efficient travel options.
  • Office Checks: Conduct regular inspections to ensure cleanliness and order.
  • Ad Hoc Support: Fulfill miscellaneous tasks and management requests as needed.

QUALIFICATIONS

Required:

  • Bachelor or University degree


  • Minimum 2 year of related experience


  • Fluent English and Spanish is a requirement. French or German can be an advantage.

Preferred:

  • Ability to organize, plan and prioritize with little direction


  • Attention to detail


  • Strong multi-tasking and time management skills


  • Strong collaborator and team player with a high level of discretion & confidentiality


  • Self-driven and autonomous
