The primary focus of this position is to provide day-to-day administrative support to the Government Affairs Operations Manager on all administrative services as well as, administrative support for other GA team members as needed. The Staff Assistant must be somebody who is self-motivated, learns quickly, anticipates needs, works independently and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail and the ability to work effectively with a diverse workforce.

• Event/meeting planning coordination including; scheduling, organize meeting logistics, scribe, disseminate meeting minutes and prepare agendas.
• Preparing presentations and drafting both internal & external correspondence.
• Research, compile and edit information for reports and make recommendations. Prepare drafts from notes.
• Set up and maintain distribution lists.
• Coordinate conference calls/video tele-conferences.
• Enter data into various Chevron Databases for reporting protocols and archiving.
• Independently complete projects by gathering, organizing and summarizing information and preparing documents from general instructions.
• Research and recommend changes to existing systems and procedures.
• Assist other Operations and GA team members as necessary.
• Coordinate international and domestic travel plans and meeting activities.
• Order & organize supplies, maintain inventory and compile receipts for various charges.
• Maintain reception area, conference rooms, kitchens, and pantries in operating manner consistent with CVX brand, safety, and maintenance standards.
• Work with Operations Manager, Building Management and Engineering staff regarding maintenance, custodial, health and safety concerns related to reception and offices to ensure issues are addressed.
• . Maintain Gov’t Affairs Event Calendar and WDC Visitor Calendars. Assists Operations Manager with: administrative support for team and visitors; coordinating and executing special event and/or meetings; and, submitting office and kitchen supply requests with vendors and file/reconcile PCard Statements.
• Work with IT Coordinator to ensure all IT equipment is properly maintained.
• Coordinates with Operations Manager for on-and-off boarding for employees.
• Overtime may be required.
Required Qualifications:
• Minimum of 2-5 years work experience
• High School Diploma or Equivalent
• Strong Computer Skills: Intermediate to advanced knowledge in Word, Excel, PowerPoint and Outlook/Calendar and general knowledge in data bases.
• Demonstrated superior problem solving and critical thinking skills with strong attention to detail and excellence in the execution of administrative duties.
• Demonstrated ability to understand and satisfy customer needs and expectations.
• Excellent administrative skills: Demonstrated capability to maintain complex calendars and logistics; prepare manager(s) for meetings and other events; organize business conferences and meetings; handles activities with high confidentiality.
• Communicates in a clear, concise and effective manner with internal and external customers.
• Demonstrated ability to set priorities and meet deadlines.
• Empowers and energizes others by simplifying complexity, clarifying what needs to be done; and holding self and others accountable and recognizing contributions.
• Strong organizational skills and balance multiple assignments.
• Excellent listening, written and verbal skills, including strong proofreading skills.
Preferred Qualifications:
• Bachelor's degree.

Relocation will not be considered.

Expatriate assignments will not be considered.
