This position reports to the Supervisor, Oronite Customer Service Center (Asia).
Key Responsibilities:
Perform Order Fulfillment to regional customers in Asia Pacific (AP) and Pakistan, Africa, Middle-East (PAME).
Activities mainly revolve around sales order processing, delivery/logistic arrangement, billing and sales support.
Sales Order Processing
Process and handle multi-type sales orders from AP, PAME regions and local customers in Singapore.
Validating Customer Purchase Orders or Letter of Credits against compliance, supply policy, forecast, sales agreement, contract and general terms and conditions. Negotiate or resolve any discrepancies prior to processing the order.
Track order status and provide regular feedback to the customers and sales team.
Liaise and coordinates with various work groups to resolve pricing, inventory, credit, quality and supply issues.
Arrange and coordinates pre-shipment inspection for countries with regulated import restrictions.
Ensures strict corporate compliance (sanctioned countries, boycotting countries, denied party list) for all orders processed. Seek legal counsel approval for orders shipped to Middle East and boycotting countries.
Delivery/Logistic Coordination
Liaise and coordinate with delivery team to ensure timely execution of delivery/shipment of orders to local and export customers.
Coordinates with supply chain and operations planning group on bulk vessel loadings.
Billing & Documentation
Ensure timely invoicing of all sales orders upon delivery/shipment.
Prepares shipping documents to the customer upon delivery/shipment.
Negotiates shipping documents with banks for trade sales via Letter of Credits, Documents against Payment or Documents against Acceptance terms.
Meeting and complying SOX requirement during documentation process.
Administers supply policy & FTA policy to all customers to recover additional handling costs when applicable.
Sales Support
Coordinates with customers on Supplier Managed Inventory.
Assist Sales Account Manager in customer’s enquiries (e.g. SDS, PDS, product availability) and involve in sales calls/visits, customer audits, customer training, sales meetings, etc.
Administer customer complaints and ensure timely resolution through coordination with respective work groups.
Coordinates with various work groups to resolve operational issues.
Work closely with Sales and Demand Planner to develop and improve on short term and long-term sales forecast accuracy.
Work closely with Demand Planner on orders above forecast.
Work closely with Regional Sales coordinator on order management.
Maintain and initiate change to customer profile in SAP.
Others
Provide support to Ops Planning in maximizing blend size and daily production schedule.
Provide support to Procurement & Supply Chain on periodic evaluation of logistics costs (ISO/FCL/LCL freight).
Provide support to Finance group in improving collection efficiency.
Required Qualifications:
Bachelor's Degree in any business-related course
Minimum 4-5 years work experience
Excellent command of English language for both oral and written communication
Attention to details
With analytical and problem-solving skills
Can multi-task and can work independently
Good coordination skills
With good attendance record
Preferred Qualifications:
Experience in SAP system
Knowledge in shipping documentation
Relocation Options:
Relocation will not be considered within Chevron parameters.
International Considerations:
Selected candidates will work in Philippines under the local payroll system and benefits.
