Position Summary
Under direct supervision and is responsible for generating all postings for the College in the Applicant Tracking System (ATS). Oversees all transactions in the ATS related to applicant's status, scheduling interviews, hires, creating offer letters, data feeds from the Human Resources Information Technology (HRIT) to the ATS, generating reports, and overall recruitment coordination and efforts. Responsible for maintain a social media presence to increase the visibility of careers with the College. Responsible for processing recommendations for hire in accordance with College Policies and Collective Bargaining agreements including but not limited to the following; positions in the union versus not in the union, leave accruals, drug testing, background checks, pay rates, and completing necessary hire paperwork.

Duties & Responsibilities

  • Receives calls and/or greets visitors, takes and relays messages, responds to requests for information; provides information or directs to appropriate individual.
  • Coordinate with HR Business Partner(s) on all changes to salary structure for staff and faculty, union negotiated wage changes, minimum wage changes, reclassifications, and any other changes that impact a positions rate and/or pay range.
  • Create postings for the College via coordination with the Executive Team and Budget Department, posting positions, monitor activity of postings, regular communication with departments regarding the status of postings and updating applicants status in the system to ensure applicants receive timely notification regarding the status of their application for employment. Manages application/resume file and retention.
  • Oversees all transactions in the ATS including data feeds from the HRIS to the ATS, applicants status, scheduling interviews and sitting in on interviews, processing hires, creating offer letters, generating reports, and overall recruitment and onboarding coordination and efforts.
  • Subject matter experts in the ATS, trains the College community on the system, hiring policies, procedures, protocols, and departmental roles.
  • Conducts recruitment efforts via social media avenues, posts regularly to social media accounts, ensure branding and messaging represents the College and follows approved marketing strategies, attends job fairs and community partnership events.
  • Assists in designing recruitment plans for specialized recruitment efforts, monitors, tracks and follows up on recruitment and open positions to ensure appropriate timelines are met.
  • Responsible for processing recommendations for hire in accordance with College Policies and Collective Bargaining agreements including but not limited to the following; identifying positions in the union versus not in the union, leave accruals, drug testing, background checks, pay rates, creating and disseminating offer letters and employment contracts to all hires.
  • Coordinates with hiring officials and scheduled new hires to attend new employee orientation and coordinates with all internal stakeholders; HRBP, Payroll, Training, Security, Employee Id/Badging, Marketing, and ITS.
  • Responsible for creating personnel HRBP records in the HRIT and updating changes to personnel records for all employees at the College including but not limited to; new hires, transfers, status changes, reassignments, reorganizations, supervisor and/or timesheet approver changes, entry of pay rates, and faculty roles.
  • Creates and maintains electronic personnel files in the College's records and retention system, processes all separations/terminations in the HRIT and electronic record system.
  • Responsible for receiving and processing requests to create vendor accounts and issue necessary access for vendors.
  • Prepares and/or processes documents; reviews for accuracy and completeness; updates information and/or evaluates against policy; compares elements for consistency or logical relationships and ensures compliance with all federal and state laws and regulations,
  • Verifies data entry by comparing the source document against input data, utilizing automated verification system, dual entry or other verification technique.
  • Responsible for monthly mandatory state reporting and reporting to the Governing Board and Marketing Department.
  • Perform other related duties as assigned.

Minimum Qualifications:

  • Associate's Degree and one year related experience

OR

  • High School Diploma or GED and three (3) years of related experience
