About the Role:
As a CBRE Sr. Contract Administration Analyst, you will be responsible for upholding the integrity of client's owned vacant land portfolio for global, large. complex portfolio of properties. Inputting, maintaining, organizing, and reporting on information regarding the portfolio.

This is a hybrid role requiring 3 days a week in office (Tuesday, Wednesday, Thursday) in San Jose, CA.
What You'll Do:

  • Understand real estate regarding sales transactions. Will be required to read through PSAs, Closing Statements, Development Agreements, Amendments to contracts, Options, etc, and be able to identify and pull out key information to abstract. Abstraction is manually done by populating key fields and critical obligations into a Google Sheet template.

  • Ongoing obligations (obligation type, dates, milestones, costs, reminders)
  • 3rd Party Agreements - obligations, contact terms, costs (Purchase and Sale Agreement, Development Agreements, Options).
  • 3rd Party Consultant contract data, schedule, milestones.
  • Create and maintain Google Sheets (spreadsheets) for shared tracking of work progress.
    • Typical data may include key dates, milestones, deadlines and links to important documents.
    • Must be able to Google document embed links into spreadsheets and maintain most recent versions.
  • Ensure accurate agreement abstract data, scanned documents, owned property data and related documents are entered into source system managed by Client.
  • Deliver key reports informing the business of critical dates, contract compliance requirements, and outstanding compliance requirements.
  • Deliver ad hoc and monthly/quarterly reports for management and sites lead reflecting portfolio statistics and metrics (using Google Sheets & Google Looker Studio for reporting).
  • Deliver metrics and statistics in a mutually agreed upon format.
  • Manage key dates, obligations and milestones and provide appropriate notification to Management/Site leads of those obligations.
  • Measure and report on data completeness per PDAM Data Compliance Standards, as updates from time to time, to Client.
  • Support data cleanup and completeness efforts including data entry of agreement and infrastructure information for aged projects:
    • Identification, tracking, resolution or escalation of any document exceptions such as missing documents and information.
    • Quality check of significant fields (e.g. dates, costs, sizes, and options) of abstracted documents to ensure accuracy.
  • Prepare and distribute periodic and ad hoc reports in a timely, accurate manner. Designs reports utilizing various report writers, Google suite of projects (Sheets, Slides, Google Docs). Reviews standard reports prepared by team members for accuracy.
  • Prepare and distribute critical date reports; maintain tickler system for tracking important dates and tasks.
  • Create and maintain client agreement files ensuring they contain current, accurate information.
  • Serve as a member of a transition team, if needed, to get a new database site record set up and operating quickly and efficiently.
  • Cross-check and review work of peers to ensure quality and accuracy of data.
  • Perform other duties as assigned.

  • What You'll Need:
    • Bachelor's Degree preferred with 2-5 years of relevant experience in Accounting, Finance, or Real Estate. In lieu of a degree, a combination of experience and education will be considered.
    • Commercial Real Estate experience is mandatory.
    • Prior land development and acquisition/transaction experience preferred.
    • Paralegal training or certification is preferred.
    • Intermediate knowledge of computer software and hardware (i.e. Google Sheets, Google Docs, Google Slides, and any Google Looker Studio and/or building Dashboard experiences is desired. Should have extensive experience building and maintaining complex spreadsheets.
    • Self-started with advanced organizational skills.
    • Ability to analyze possible solutions using technical experience to apply appropriate judgment and precedents.

    CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Sr Contract Admin Analyst position is $70,000 annually and the maximum salary for the Sr Contract Admin Analyst position is $75,000 annually. The compensation offered to a successful candidate will depend on their skills, qualifications, and experience. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
