Primary responsibilities/essential functions:
- Liaise with relationship managers and client relations associates to schedule meetings for new business pitches, consultant meetings and client review meetings and maintain electronic calendars
- Pro-actively handle incoming queries; helping where appropriate; passing onto the relevant associate/department in a timely and accurate fashion
- Coordinate travel arrangements and expense reports
- Manage faxes, reports, incoming mail and maintain up-to-date file records
- Assist with preparation of reports, including preparation of charts and tables, gathering data from other applications and conducting basic research
- Collate and prepare materials for client/ consultant meetings from the Intranet and the Marketing Database
- Assist relationship managers in maintaining the CRM data base and keeping activity and contact notes timely and up to date
- Work with relationship managers on follow up from client and prospect meetings - often working closely with client relations associates in this process Assist in preparation for Requests for Proposals, Questionnaires and tenders
- Assist in special department projects

Prerequisites:
- Good academic qualifications with at least 5 years of secretarial/ administrative support experience in financial services industry
- Proactive, organized, detailed-oriented and self-motivated individual with the ability to multi-task
- Flexible team player that can work in a fast-paced environment with enthusiasm and willingness to take on additional responsibilities
- Excellent verbal and written communication skills
- Exceptional interpersonal skills as well as strong service orientation
- Strong technical skills with an advanced knowledge of spreadsheets
- Computer proficiency using MS office (Word, Excel, PowerPoint, Outlook) and web-based databases
- Produce month end materials to clients, ability to read and type Chinese (Both Traditional and Simplified Chinese are preferable)
In addition to a highly competitive base salary, per plan guidelines, restrictions and vesting requirements, you also will be eligible for an individual annual performance bonus, plus Capital's annual profitability bonus plus a retirement plan where Capital contributes 15% of your eligible earnings.
