Quality Documentation Specialist

Job description:

Responsible for creating, reviewing, and maintaining quality documents to ensure that they are compliant, accurate, and easily accessible. The role involves managing the document control system, supporting regulatory compliance, and assisting in quality assurance processes.

This specialist ensures that all quality documents meet the required standards and regulatory guidelines, and that document management practices support continuous improvement and operational efficiency.

KEY RESPONSIBILITIES:
1. Managing an organization's information assets that encompasses the policies, procedures, technologies, and systems that support the collection, management, use, storage, and dissemination of information

2. Works closely with Quality Documentation Specialist to maintain quality document integrity and ensure compliance with procedures.
3. Develop and maintain quality documentation procedures, ensuring that documents comply with quality management systems (QMS), GMP, and other regulatory standards.
4. Oversee and maintain electronic document management systems (EDMS), ensuring proper storage, retrieval, and management of documents.
5. Collaborate with other departments to ensure quality documents are accurate, complete, and accessible.
6. Ensure that document management systems are kept up-to-date and that all documents are appropriately classified and indexed.
7. Maintain accurate records and manage revisions, ensuring all documentation is updated and distributed to relevant stakeholders.
8. Support the development and implementation of quality systems and processes to ensure proper documentation practices are followed.
9. Train staff on proper document control procedures, including how to create, revise, approve, and distribute documents in compliance with the company's document management policies.
10. Oversee the lifecycle of documents from creation to review, approval, distribution, and archiving. Ensure documents are reviewed on time and comply with retention requirements.

Required Skills:
• A bachelor's degree in a relevant field such as Life Sciences, Quality Management, Business Administration, or a related discipline.
• Certification in Quality Management Systems (e.g., Certified Quality Auditor (CQA) or ISO 9001 Lead Auditor) or Document Control
• 3-7 years of Quality / relevant process experience
• Ability to lead and manage a team
• Ability to succeed in environment with conflicting priorities
