Location: Vancouver Hospice Location & Hybrid(3x week at hospice and 2x week work from home)

Reporting to: Director, Clinical Program

Job status: Permanent1.0 Full-time FTE (75 hours bi-weekly)

Compensation: $56,712 - $62,149

YOUR ROLE

JOB SUMMARY

TheAdministrative Coordinator plays a key role supporting multiple Clinical/Medicalsenior and program level leadershiproles by coordinating calendars, supporting team/committee meetings, preparingand processing documents and information, coordinating the flow of information,developing/maintaining clinical administrative operating procedures, andsupporting clinical team projects and processes. A high degree ofprofessionalism, compassion and ability to act as a positive ambassador for thedepartment and organization is crucial.

RESPONSIBILITIES
• Providesadministrative support that respects confidentiality and ensures thatadministrative matters are organized and dealt with in a professional manner.
• Managescalendars and schedules meetings for multiple clinical and medical leadershiproles
• Coordinatesteam and committee meetings: sets up virtual meetings, meeting rooms, videoconference equipment. Key coordinator for virtual meetings. Supportsdevelopment of meeting agendas, distributes meeting documents, takes meetingminutes and follows up on action items as directed.
• Supports clinical/medicalleadership and program level projects and processes as directed.
• Supports development and/ordocumentation of Clinical administrative processes. Applies a continuous-improvementmindset: identifies opportunities to refine processes, makes processimprovement recommendations to appropriate leadership. Develops and maintains a Clinical ProgramAdministration Knowledge Base/Annual Plan.
• Supportseffective and efficient management of information and data using availabletools/applications (Confluence, Teams, or similar).
• Supportsinternal communication: prepares and edits letters and reports; develops/editsdigital forms, surveys, newsletters as needed; disseminates information andknowledge related to key programs and initiatives.
• Submitsfinance information/reports as needed.
• Liaiseswith central IT support to coordinate IT requirements and needs within thehospice
• Collaborates with administration team to provideback up and cross-coverage as needed
• Assumesother related responsibilities, as assigned.

EDUCATION AND EXPERIENCE
• A level ofeducation, training and experience equivalent to a Diploma in ProjectManagement, Administration or Bachelor's degree in Health, Education, Communicationand/or related discipline
• Three (3)to five (5) years' experience or an equivalent combination of education,training and experience.
• Thinksanalytically and conceptually; questions and challenges the status quo toidentify issues, solve problems and design and implement effective processesacross systems and stakeholders.
• Works wellindependently and as well as a member of a team with changing priorities.
• Creates anengaging environment where others have meaningful opportunities and theresources to fulfill their expected responsibilities.

QUALIFICATIONS

• Excellent verbal and written communication skills
• Commitment to excellent customer service and familycentered care in a fast-paced, diverse and emotionally sensitive environment
• Excellent critical-thinking and problem-solvingskills.
• Adept at handling multiple priorities whilemaintaining attention to detail
• Demonstrated ability to work independently, as wellas a collaborative member of an interdisciplinary team.
• Ability to handle sensitive and confidentialinformation; exercises high level of judgement, tact and discretion.
• Ability to communicate with internal and external partners in a mannerthat promotes positive and respectful relationships.
• Strong administration support skills, includingbusiness correspondence
• Technologically adept: well versed in MS Office(Outlook, Word, Excel, Teams etc.), comfortable using Adobe Acrobat Pro, Canva,etc.
• Familiarity with creating and editing online teamworkspace sites, such as Confluence, Sharepoint, etc.
• Detail oriented and maintains high level oforganizations
• Calm, professional, pleasant demeanor particularlyin the face of distractions, shifting priorities and stressful situations
• Experience in similar environment (health care,non-profit) is an asset

• Evidenceof Health Canada approved vaccinations must be provided prior to your first dayof work.
• Flexibilityis necessary, as this position may require occasional weekend and evening workand travel within and outside the Lower Mainland.
