WHAT YOU'LL DO
In 2024 a new BCG hub will open in Lisbon. The hub will be a dynamic and collaborative environment bringing together a diverse range of Business Services Teams serving our BCG colleagues across the region and beyond. We are looking for a driven Administrative Assistant (AA) who can work with limited direction to provide administrative support from this new hub. Although you will need to be a master of tasks, we need critical thinkers and problem solvers. We expect you to go beyond transactional support. Your role and day-to-day experience will vary depending on the tenure of the stakeholders you support.

Administrative Assistants are an essential part of our local offices and BCG fabric. As an AA in our newly established Lisbon Hub office, you will have a unique experience in a "start-up" setting within a 30,000+ employee firm. This is an exciting opportunity to take on more responsibility, wear many hats, and shape the culture and team for the new office. A successful AA has a "can do" mentality, is flexible, and is eager to build strong connections across teams as our office footprint grows.

Administrative Assistants are expected to grow throughout their careers at BCG, building and improving their skills to match the evolving needs of our firm, our leaders, and our clients. YOU'RE GOOD AT
Providing proactive support to senior BCG CT and BST leaders with internal/external commitments in a fast-paced and dynamic client service environment. Your primary responsibilities are as follows; however, some days will be more administrative-focused than others:

Organizing and scheduling (and re-scheduling) client/internal meetings and events with an understanding of business priorities - proactively managing extremely complex calendars

Anticipating and coordinating point-to-point travel needs as necessary, including booking (and unbooking) hotels and transportation

Processing timesheets and expenses on a timely basis

Proactively anticipating and solving problems before they arise

Maintaining confidentiality - you will be privy to sensitive information

Proactively leaning in to support high-leverage activities for executives and their case teams (this will vary by your stakeholders' needs):

Actively supporting business development efforts

Conducting research and gathering information to help problem solve questions

Assisting with the preparation and proofreading of client team materials, including slides, proposals, and onboarding decks

Anything else you (or your stakeholder) determine necessary - we encourage you to be creative and think outside the box

Acting as a thought partner and trusted advisor to your stakeholders' teams

Making sure your stakeholders know the information they need to know to best set them up for success with their external and internal (BCG) clients

Enabling your stakeholders to make the best use of their time

Taking initiative to proactively bring to-dos or priorities "from the back burner to the front burner" for your stakeholders

Building effective working relationships with your key stakeholders and your peers as you work together to get things done. This will be crucial to your success in your career at BCG.

Partnering closely with other AAs in your network to build deep relationships and progress scheduling for complex meetings and events. Many of your peers will be supporting stakeholders who may work closely with your stakeholders

Building relationships across the office with other internal teams (e.g., HR, IT, Office Services) as our footprint grows

YOU BRING (EXPERIENCE & QUALIFICATIONS)

Bachelor's degree strongly preferred
2+ years of experience ideally in professional services or multi-national companies
Fluency in English and German
Demonstrated leadership and/or customer service experience
Proficiency in Microsoft Office product suite (Outlook, PowerPoint, Word, and Excel)
Curiosity - you are interested in understanding the big picture; you possess a drive to learn about what is going on and independently ask "why" in order to exercise appropriate prioritization and judgment with daily activities; understanding the broader objectives will help you be successful in this role
Insight - you can connect the dots, identify patterns, make predictions, and take intuitive leaps; you are willing to take ownership to get to a great answer; you are open to feedback
Teaming - you create effective working relationships and build connections across all stakeholders; you develop a brand that compels people to engage; you demonstrate high levels of customer service
Execution - you are committed to getting the job done well (and efficiently) ; you are organized and detail oriented

YOU'LL WORK WITH
Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.
